You don't need to be an IT professional, but you should be tech-comfortable and unafraid of a settings menu. * Strong organizational skills and close attention to detail; comfortable managing multiple vendors and moving parts at once. * Excellent communication skills and a collaborative, team-first mindset. * Self-starter who is comfortable building processes where none exist yet. * Experience opening or helping launch a new facility/hospital is a plus, but not required. ## Description Veterinary Specialist Partners (VSP) is seeking a detail-oriented, hands-on Inventory, IT & Facilities Coordinator to help launch our brand-new specialty and urgent care hospital in Evansville, Indiana, opening November 2026. This is a foundational role for our newest hospital. You'll implement and manage VSP's established inventory system at this brand-new location, while also standing up IT and facilities processes from the ground up. From day one, you'll be the person who makes sure the shelves are stocked, the computers work, the controlled drug logs are airtight, and the equipment keeps running so our clinical teams can focus on patients. Our Internal Medicine service has cared for the Evansville region since 2018, and we're now expanding into a purpose-built hospital combining that established specialty practice with 7-day-a-week Urgent Care. The Role Reporting to the Practice Manager and working closely with the Director of Clinical and Business Operations, the Inventory, IT & Facilities Coordinator keeps the hospital's supplies, systems, and equipment running smoothly so the clinical team can focus on patient care. This role touches three core areas: inventory management, basic IT support, and facility/equipment maintenance. Inventory & Ordering VSP's inventory system and processes are already established across our hospitals, this role is responsible for implementing and managing that system at our new Evansville location. * Order and manage inventory of all general hospital supplies (medical, surgical, pharmacy, and office), ensuring appropriate par levels are set and maintained. * Build and maintain vendor relationships; place and track orders, resolve backorders/discrepancies, and manage return/credit processes. * Receive incoming inventory, verify against purchase orders and packing slips, and properly stock/store all items. * Partner with the local Practice Manager to manage controlled substance inventory, including ordering, receiving, logging, and reconciliation in compliance with DEA and state board of pharmacy requirements. * Conduct regular physical counts and cycle counts of controlled substances and general inventory; investigate and document any discrepancies. * Monitor expiration dates and rotate stock to minimize waste. * Track inventory spend and identify cost-saving opportunities without compromising quality of care. * Maintain organized, accurate inventory records and documentation for audits and inspections. IT Support & Systems * Serve as the on-site point of contact for day-to-day IT needs: setting up new computers/workstations, printers, and peripherals. * Troubleshoot basic hardware, software, and connectivity issues for hospital staff. * Manage user accounts/access for practice management and hospital software systems (in coordination with leadership and IT vendor). * Partner with our third-party IT/managed services vendor to escalate, coordinate, and follow through on more complex issues, network needs, and system upgrades. * Help maintain an inventory of hospital IT equipment (computers, tablets, phones, servers, network hardware) and coordinate repairs or replacements as needed. * Support onboarding of new staff with account setup and basic systems training. Facility & Equipment Management * Maintain an inventory of all facility equipment (diagnostic, medical, HVAC, generators, and general building systems) and their maintenance schedules. * Schedule and coordinate routine and preventive maintenance with appropriate vendors and service providers. * Track service history, warranties, and contracts for all major equipment. * Serve as the point of contact for facility vendors (equipment service techs, cleaning, landscaping, pest control, etc.). * Monitor the building and equipment for maintenance needs, safety issues, or code compliance concerns, and coordinate timely resolution. * Maintain documentation of facility inspections, certifications, and compliance requirements (fire safety, biomedical waste, etc.). * Support space planning and coordination of any facility updates, repairs, or improvement projects.
