Your primary responsibilities will be to coordinate support services across the function, facilitate collaboration and communication, and generally maximize the contribution of the Leadership Team by providing operational support. Your 'day to day': * Communication facilitation: Serve as a central point of contact for team members, relaying information, messages, and updates between different individuals and departments. Prepare documents and minutes of the meetings, store and track meeting minutes and follow up actions. * Coordination and scheduling: Organize and schedule team meetings, prepare agendas, and ensure timely distribution of meeting minutes. Coordinate travel arrangements and accommodation for team members when necessary. Clear calendar of expected milestones for submitting updates and management reviews. * Documentation and reporting: Maintain accurate records, files, and databases related to team activities. Prepare reports, and other materials as required. * Budget maintenance: Assist the business with PO creation and tracking to ensure the correct allocation of cost, and PO / contracts approval. Maintain MSA, SOW, PO and Invoice records across the team. * Task and project management: Assist in assigning tasks and tracking their progress. Collaborate with team members to ensure deadlines are met and provide support as needed. Help prioritize projects and allocate resources effectively. * Process improvement: Identify areas for efficiency enhancement and propose solutions to streamline team workflows and optimize productivity. * Training and onboarding: Assist in the onboarding process for new team members, ensuring they have the necessary resources and information to integrate smoothly into the team.
