This position is ideal for a highly organized professional who enjoys working with data, managing multiple priorities, collaborating with various departments, and supporting projects that have a direct impact on organizational success. Your work will help ensure that facilities, resources, and operational systems remain organized, efficient, and responsive to the needs of the Anderson community. What You Will Do as an Operations Data Specialist: * You will manage service requests and maintenance work orders through the agency's Computerized Maintenance Management System (CMMS), helping ensure accurate tracking, documentation, scheduling, and reporting of maintenance activities. * You will maintain critical facilities and asset information, including equipment records, inventory data, vehicle registrations, insurance records, and preventative maintenance schedules. * You will support maintenance planning and scheduling activities by coordinating work requests, updating project information, and helping ensure operational priorities are completed efficiently. * You will assist with inventory management by monitoring supply levels, maintaining accurate records, preparing materials for distribution, and helping ensure departments have the resources needed to complete projects successfully. * You will support operating and capital budget activities by tracking expenditures, processing vendor invoices, monitoring project costs, and maintaining accurate financial records. * You will prepare and analyze operational, financial, labor, and cost-center reports that help leadership make informed decisions and maintain accountability. * You will collaborate with Finance and Operations leadership to reconcile data, resolve discrepancies, improve processes, and support organizational reporting requirements. * You will assist with regulatory and operational reporting, including transportation, fuel usage, purchasing, and other department-specific reporting obligations. * You will provide administrative support to the Operations Department through scheduling, calendar coordination, meeting support, correspondence preparation, records management, and general office functions. * You will coordinate preventative maintenance activities, vendor schedules, contractor services, and other operational activities that support the efficient functioning of agency facilities. * You will maintain organized filing systems, documentation, and records that support compliance, operational efficiency, and effective project management. * You will serve as a collaborative resource to Operations leadership and staff by helping identify solutions, improve workflows, and support the department's strategic goals. * You will help ensure that the facilities and operational systems supporting Anderson's programs continue to provide a safe, efficient, and high-quality environment for the individuals we serve., * Complete all required agency training programs. * Maintain accurate records, reports, inventories, and documentation. * Demonstrate professionalism, accountability, and strong stewardship of agency resources. * Support a collaborative, service-oriented work environment. * Communicate effectively with staff, vendors, contractors, and organizational leadership. * Maintain confidentiality and adhere to agency policies and procedures. * Contribute to department initiatives and organizational goals as assigned.
