This role serves as the primary operational contact for employee move requests. Working closely with HR, IT, Facilities Operations, vendors, and business leaders, the MAC Coordinator ensures workplace changes are completed accurately, on schedule, and with minimal disruption to business operations. Job Responsibilities Workplace Moves & Daily Operations * Coordinate daily employee moves, additions, and workspace changes. * Manage individual, team, and departmental relocations. * Coordinate office, conference room, and support space changes with assistance of space planner. * Ensure work areas are fully operational before employee occupancy. Move Coordination * Serve as the primary point of contact for move requests. * Coordinate activities between Facilities, IT, Security, HR, vendors, and business units. * Develop move schedules and sequencing plans. * Conduct pre- and post-move walkthroughs. * Resolve move-related issues and escalate when appropriate. Space & Occupancy Administration * Maintain accurate seating assignments and occupancy records within the IWMS/space management system. * Update seating assignments via the IWMS tool * Verify space utilization aligns with approved workplace standards. * Support periodic occupancy audits and headcount validation. Customer Service * Respond to move requests and workplace inquiries. * Communicate move schedules, expectations, and impacts to employees. * Provide high-touch customer service during relocations. * Ensure timely resolution of workplace issues following moves. Vendor Coordination * Coordinate work performed by moving companies, furniture vendors, and installation contractors. * Verify work quality and completion. * Ensure vendors comply with safety requirements and building procedures.
