Native seed, seed production or specialty crop experience strongly preferred. * Botanical training and familiarity, specifically with flora of Northern and Central California. * Demonstrated file and data organization discipline in a shared environment (SharePoint or equivalent) serving multiple stakeholders. * Conversational or fluent Spanish. Daily in-season communication with collection crews is conducted in Spanish, often beginning early morning. * Mapping and GIS competence (ArcGIS, OnX, Google Earth or similar) sufficient to produce permit maps and maintain site records. * Proven ability to set priorities and hold deadlines across competing requests from farm, accounting, administration and commercial stakeholders. * High detail orientation with a bias toward building scalable templates and solutions instead of answering the same question twice. Valid driver's license and willingness to travel to farms and remote collections sites, including occasional overnight travel and time in a hotel., * Advanced Excel: lookups, pivot tables, and the ability to build a durable model rather than a one-off sheet. * Working familiarity with CCIA seed certification and California DPR pesticide use reporting. * Experience with seed inventory or ERP systems and report generation. * Exposure to sales and operations planning (S&OP) or production planning processes. * Interest in applying automation and AI tools to routine operational work. ## Description The Production & Collections Manager is responsible for the information and coordination for Hedgerow Farms and for NativeSeed Group's California wildland collections program. It owns the records, permits, schedules and models that farm managers, collections crews, accounting, commercial and executive leadership all depend on to make decisions., * Prepare and submit Pesticide Use Reports on schedule. * Prepare and submit CCIA applications for Certified and Source Identified seed lots; serve as the working contact with CCIA and other agencies. * Arrange CCIA site inspections for certified G0 collections. * Track certification status by lot and flag exposures before they affect salability. * Assist with fields lists and farming costing as requested by Farm Manager. 2. Wildland Collections Coordination * Secure right-of-entry permits: develop maps, prepare requests and forms, sequence permit processing against the collection calendar, and confirm crews understand each permitting entity's requirements. * Maintain landowner relationships, including seed-return percentages and permit payments. * Build the annual collection calendar with the Collections Manager and crews, using scouting results and prior-year seed ripening data. * Track collections in real time during season: daily field-material poundage by species, whether additional trips or locations are needed, and continuous calendar adjustment communicated to both crews and landowners. * Assign lot numbers to field material as collected and confirm they reach the collection sheets; ensure collection sheets are completed by crews and returned to the office. * Calculate PLS pounds collected from seed test results and update collections planning records. * Maintain collection site maps and GIS records for northern and southern California; identify and occasionally scout new sites and log new coordinates. * Arrange crew lodging for overnight trips and respond to crew field needs. * Maintain historical collections data as a usable planning asset. 3. Contract Administration * Maintain an organized, accessible contracts folder as the system of record for grow and collection contracts. * Track contract status and financials, covering deposits, payments, revenue and signed documents, and keep contract owners current. * Produce contract reports and lead client meetings on status and next steps. * Support management with documentation and communication for contract grow-out and contract collection clients. * Support data management and logistics scheduling for strategic alliance and partner arrangements (deliveries, cleaning). 4. Farm Administrative & Logistics Support * Receive incoming trucks, ensure shipments run cleanly, and maintain shipment records in coordination with the office. * Support farm staff on administrative, IT and logistics needs: supplies, parts, vehicle registrations, training, insurance and payroll coordination. * Upload and organize receipts. * Help communicate company policy changes to farm and collection crews. 5. S&OP Support * Maintain historical production data: yields, planting dates, origins, lot numbers. * Summarize and present farm and collections data to leadership and, where appropriate, to clients. * Keep all documents organized and accessible in the correct SharePoint locations. File discipline is part of the job, not an afterthought. * Identify and pilot automation and AI opportunities to remove recurring manual work.
