The Mitigation Job File Coordinator will work as a liaison for the customer to identify project requirements and specifications as well as administer and organize projects and support teammates. If you are self-motivated, organized and have outstanding customer service skills, you could thrive in this environment! Key Responsibilities * Maintain clear, professional, and timely communication with customers, insurance representatives, Project Managers, and other project stakeholders. * Monitor active mitigation projects daily, including job status, work-in-progress, documentation requirements, and outstanding action items. * Create and update preliminary estimates using industry-specific estimating software, subject to Project Manager review and approval. * Review job-site documentation for accuracy and completeness, including photographs, notes, forms, equipment records, moisture documentation, authorizations, and supporting documents. * Identify missing or incomplete documentation and follow up with Project Managers and field personnel. * Maintain accurate and current job information within the company's project-management systems. * Assist with estimate submission, invoicing, payment follow-up, and insurance documentation. * Work closely with assigned Project Managers to ensure every job file is properly documented from initial intake through final billing and closure. * Provide customers with regular updates and help resolve routine questions or documentation requests. * Collaborate with accounting, production, reconstruction, and other departments as needed. * Maintain the confidentiality of customer, insurance, financial, and company information. * Perform other administrative and project-coordination duties as assigned., This is primarily a sedentary position performed in a fast-paced office environment. The employee must be able to work at a computer for extended periods, communicate by telephone and email, access electronic and physical job files, and occasionally lift or move office materials.
