This position is responsible for the ongoing process design related to HIM services for the system and for developing contemporary strategies to deliver value in the HIM arena. The executive director is required to network with other top tier organizations to bring changes necessary to ensure that the WellStar integrated medical record is precise and of the upmost integrity. The Executive Director is responsible for setting corporate policies and oversight of all HIM operational processes (including but not limited to document capture, chart completion, filing and retrieval, record management and retention, birth certificate and reporting, and release of information) in the inpatient, hospital outpatient department, and ambulatory setting for all WellStar locations, as well as the employee culture and customer satisfaction and relationship management. Also serves as an advisor and liaison to the ambulatory practice locations for HIM management and best practices. The Executive Director ensures necessary policies and procedures, recommends changes as appropriate, and provides relevant feedback. Designs and implements HIM shared services operational planning, service level agreements, budgets, workflow processes and internal controls. The execution of the policies as established by the Executive director will be achieved by the Regional HIM Directors reporting to the Executive Director. This individual serves as a key promoter of HIM shared services across all facilities, and is responsible for setting the tone as a service organization, continuously seeking to understand, meet and exceed customer expectations and needs. Manages vendor and contract relationships alongside the Regional Director, ensuring adherence and negotiation of contracts. He/she manages compliance with all regulatory and accreditation agencies and other rules for HIM functions, including monitoring new rules and interpretations, ensuring compliance, participating in surveys and correspondence, and the development of action plans as needed. Core Responsibilities and Essential Functions: System Process Alignment and Education * a. Provides system-wide strategic leadership and coordination of all HIM function(s) across all WellStar facilities alongside Regional Directors * b. Develops and adheres to HIM best practices and operational efficiency, consistency across locations, customer satisfaction, technology optimization and implementation, vendor and supplier management, policies and procedures * c. Serves as an internal consultant of best practices * d. Provides system-wide education and resources, as well as communications to employees, peers and customers. * e. Conducts root cause analyses and works with other department to eliminate re-work by HIM Resources and Technology * a. Leads program of ongoing technology assessment * b. Implements new applications and tools * c. Leads optimization tracking for current applications, based on opportunities for operational efficiencies, customer feedback and satisfaction * d. Facilitates new strategic initiatives in collaboration with Regional HIM Directors, vendors, HIM IT Coordinator and Epic/IT EMR HIM application coordinators. Strategic Goals and Objectives * a. Develops and oversees strategic planning, goals and objectives for the HIM functions, leaders and teams * b. Create processes that will demonstrate continued improvement in operations and in anticipation of new services and methods of approaching HIM on behalf of WellStar * c. Responsible for State and Federal Regulatory and accreditation compliance in the areas of HIM responsibility Fiscal Responsibility * a. Initiates, communicates and monitors operational budget and metrics and goals/targets, and leads efforts to meet and exceed targets and expectations for: * i. Budgeting Process. * ii. Monthly expenses and works on ways to decrease if feasible and appropriate. * iii. Efficient use of resources. * iv.
