Agent guide: [/agents.md](https://www.wearedevelopers.com/agents.md). --- # Transfer Specialist - **Company:** Rasmussen University - **Location:** United States (Remote available) - **Experience:** Experienced - **Contract:** Permanent contract - **Skills:** Microsoft Excel, Microsoft Outlook, Document Management Systems, Microsoft Office, Student Information Systems, Microsoft SharePoint - **Published:** May 19, 2026 - **Apply:** https://www.indeed.com/viewjob?jk=dd7bd31d33e6f823 ## About the Role * Bachelor's degree from an accredited institution required * Minimum 3-5 years of professional experience. * Experience in higher education, specifically transfer of credit, is preferred. * Experience with Microsoft Office Suite, with an emphasis on Excel and Outlook. * Demonstrated experience with the following applications preferred: Student Information Systems, Document Management Systems, Microsoft SharePoint. * Self-motivated, flexible and able to work under pressure in a team environment that requires individuals to adapt regularly to the various changes and needs of the University, often under tight deadlines, effectively prioritizes and completes assigned tasks and is accurate in analytical assessments, demonstrating attention to details. * Able to retain and recall academic and university policies and procedures as well as apply them correctly to ensure the transfer of credit decisions being made on behalf of the university are accurate, consistent and equitable. * Strong organizational skills that enable the individual to work on multiple tasks at one time in addition to consistent communication with manager and other team members regarding progress on queues and projects. * Ability to work with multiple forms of technology simultaneously to craft transfer of credit reviews and gather the needed data for accurate transfer of credit evaluations. * Maintains strict adherence to all institutional, governmental and accreditation policies and regulations, ensuring all assessments, postings and other tasks are complete and compliant. * Exhibits thoughtful and reasonable solutions to problems, working through various steps or possible outcomes. * Excellent written and strong verbal communication skills in the English language. Communicates transfer credit results effectively with Admissions, Advising, and other university personnel. Contacting external entities, such as accrediting bodies and other colleges/universities, is expected when additional information is needed to complete transfer of credit assessments. ## Description The Transfer Specialist supports the University's transfer credit operations by processing a high volume of official transcripts received from external institutions. Verifies the authenticity of each transcript and ensures it is accurately matched to the appropriate student record. Shares responsibility for managing the transcripts email inbox, which includes downloading official transcripts from external sources, responding to inquiries from campuses and students, and routing emails to other departments as appropriate. The Transfer Specialist audits transcript-related activities to confirm that all received official transcripts have been processed. Posts approved transfer credits to student records and ensures the credits posted exactly match those that were approved, resolving any discrepancies as needed. As time permits, the Transfer Specialist may also complete transfer credit evaluations for specific programs and assist with projects as assigned., * Provides new student transfer of credit reviews for assigned programs: + Completes transfer of credit assessments for new students for assigned programs. This includes, but is not limited to, verifying institutional accreditation; discerning calendar systems, conversion ratios, and grade scales of external institutions; applying University policies and procedures such as expirations and programmatic variances; and most importantly having a solid course content knowledge for accepting transfer credits to ensure student and programmatic successes. Accurate reviews are expected to ensure students are scheduled appropriately, as missed transfer credit may equate to institutional grants, misconceptions and other concerns. + Verifies validity of submitted transcripts and grade documents, assesses completed coursework and determines transfer eligibility based on numerous university transfer credit policies and practices. + Creates student scheduling and transfer documents utilized by Central Transfer and other departments to manage students' paths to graduation, impacting cost, time, cohorts and other institutional accountabilities and goals. Accurately records transfer credit decisions on documents and within the Student Information System (SIS) in a professional manner. Uploads documentation into the document management system for others to access and review. + Determines entrance eligibility into Bachelor Completer and other programs with transfer credit requirements. Identifies students who do not meet the transfer credit entrance eligibility requirements, denies the requests, and supplies appropriate documentation of the denial which is shared with the student by Admissions or Advisors. + Utilizes and scrubs queues within the SIS for assigned programs, adhering to turn-around times and consistently communicating with leaders when assistance is needed or errors are uncovered. This ensures other departments are receiving timely feedback, especially for Admissions and Advising who directly communicate transfer of credit decisions to students as well as for other teams who rely on transfer of credit reviews and postings in order to perform their jobs. * Provides returning and current student transfer of credit reviews for assigned programs: + Generates transfer of credit reviews for returning students for assigned programs. This includes the aforementioned as well as understanding the University's prior course numbering systems, courses and their content, internal course equivalencies established by Academics, the SIS and document management systems as well as student records file management. + Produces transfer of credit reviews for current students looking to change enrollments, which includes the skills and expectations previously described. It also encompasses analyzing current courses in progress along with understanding additional university policies and practices, applying them correctly and consistently for the equitable treatment of all students. + Provides updated transcript reviews for current students, which includes updating student documents and the SIS. When additional transfer credits apply, documenting the additional transfer, unregistering students accordingly within the SIS, posting the credits and notifying the Advisor and/or others. * Processes incoming official transcripts by performing one or more of the following responsibilities + May retrieve official transcripts sent electronically from third-party transcript vendors and/or may need to travel to the Central Office 1-3 times per week to process official paper transcripts received in the mail. + Verifies validity of official transcripts and matches transcript to student record in the SIS. Uploads transcripts and determines the appropriate next step for each transcript. + May manage the shared Transcripts inbox. Download transcripts, answers campus and student questions related to official transcripts sent by other institutions, and forwards received emails to other departments as needed. + May perform audits of activities in the SIS related to transcripts received by other institutions to ensure all received official transcripts have either been submitted for assessment or set to No Longer Needed when a student is no longer applying or enrolled. * Posts transfer credits in the SIS for new, returning and current students for assigned programs + Posts transfer credits in the SIS for new, returning and current students for assigned programs. + Assesses student records for errors or issues, and notifies leaders accordingly of the problems uncovered. + Unregisters students from scheduled courses fulfilled with transfer credit when appropriate and notifies Advisor and others regarding the schedule change. + Verifies posted credits in the SIS exactly match credits recorded on the transfer and scheduling documents. When credits do not align, seeks assistance from leaders. + Validates correct application of previously completed Rasmussen coursework for returning students and adjusts the academic record accordingly as needed. + When a student changes enrollments, confirms the SIS correctly auto-associated prior Rasmussen coursework, makes manual corrections as needed, and posts new transfer credits, internal as well as external, that applies to newly enrolled program. * Performs other related duties and tasks as directed and needed + Collaborates and effectively communicates with fellow team members to complete cyclical tasks and projects. + May be responsible for such ongoing tasks and projects as: 1) Provides transfer credit reviews and postings for programs outside of their assigned program areas during peak periods, team absences and to contribute to meeting established team service goals. 2) Assist with the maintenance University's centralized SharePoint site that is the repository of My Academic Plans for applicants and enrolled students. 3) Assist with periodic SIS student record and ongoing SharePoint maintenance functions, such as purging old documents and uploading new templates. + Helps support other teams and departments with special projects that arise throughout the year.
