They will also require a good working knowledge of Microsoft Office products, including an excellent knowledge of Excel., * Educated to a degree standard or equivalent experience, i.e., 2 years working in IG environment, * Experience of working across all areas of Information Governance * Experience of writing detailed procedure documents for employees * Experience of handling complaints * Experience of explaining complex issues to a range of people * Experience of auditing working practices within own work area and other departments/areas * Experience of dealing with queries from across an organisation on varying subjects and from a wide spectrum of staff * Track record of supporting the implementation of improved information governance arrangement within complex organisations, * Demonstrates good knowledge of Information Governance / Data Protection Acts and Free of Information, NHS Code of Confidentiality, Access to Health Records Act and Calidcott Principles * Track record of supporting the implementation of improved information governance arrangement within complex organisations * Ability to work under pressure and meet tight deadlines * Working knowledge of records management patient confidentiality, information security and information sharing * Excellent written and oral communication skills with staff at all levels Special Critera, * Ability to travel across sites within the Trust ## Description * Supporting senior IG colleagues in the development and delivery of governance projects and initiatives. * sources to support governance improvements across the Trust. * Coordinating and supporting the completion of Data Protection Impact Assessments (DPIAs), ensuring all required information is accurately documented for review. * Working with IG colleagues, maintain the Department's work programme,departmental dashboards, producing monthly updates and reporting issues to the Head of IG. * Assisting with investigations relating to IG incidents, FOI requests, and Supportworks requests, while providing cover for colleagues when required. * Supporting the team with ad-hoc projects and administrative activities. * Representing IG at internal meetings, including preparing reports and papers as required. * Providing advice/guidance to staff and patients in line with IG policies. * Identifying opportunities to improve IG policies, procedures, and systems,. * Maintaining the IG Document Framework Library, ensuring accurate version control and effective document management practices. Key Themes of the Role * Information Governance and Data Protection Compliance * DPIA Coordination and Assurance * Project and Programme Oversight * Performance Monitoring and Reporting * FOI, Incident and Request Management * Policy Development and Process Improvement * SharePoint and Document Management * Operational Support, * Provide administrative, analytical and project support to the senior Information Governance management team, contributing to the delivery of the Trusts IG work programme and assigned projects. * Interpret and analyse complex information from a range of sources, using this to support effective governance, reporting and decision-making across the Trust. * Support the completion and maintenance of Data Protection Impact Assessments (DPIAs), ensuring information is accurately recorded and available for review and approval. * Monitor the IG departmental work programme and dashboard, ensuring actions and updates are completed within agreed timescales and highlighting areas of concern, risk or non-compliance to the Head of Information Governance. * Support investigations relating to Information Governance incidents, Freedom of Information requests and Supportworks requests, providing appropriate cover for colleagues when required. * Attend Information Governance Steering Groups, sub-committees and other relevant Trust meetings, preparing papers and reports on progress against agreed objectives where required. * Act as a knowledgeable point of contact for staff and patients regarding Information Governance policies, procedures and processes, escalating complex matters appropriately. * Assist with the development, review and implementation of IG policies, procedures, guidance and systems, identifying opportunities to improve existing processes. * Maintain the Information Governance SharePoint library, ensuring documents are managed systematically and accurately, with appropriate version control. * Work alongside IG colleagues to deliver the annual Information Governance audit programme, assessing staff compliance and awareness of relevant policies and procedures. * Following IG incidents, risks or identified issues, support recommendations for improvements to policies, procedures, guidance and training. * Support the Trusts Data Mapping Annual Work Programme, ensuring personal data flows are appropriately documented and risk assessed in line with established processes. * Monitor outstanding data mapping activity, following up areas where information is incomplete or overdue and escalating non-compliance where necessary. * Maintain accurate records of the Trusts Information Sharing Agreements, ensuring these are reflected within departmental data maps and remain current. * Support the transition of appropriate Information Sharing Agreements to DPIAs, helping to document the revised process and obtain the necessary approvals. * Assist with the management of the IG mailbox and Service Desk calls, responding professionally and promptly to queries from staff across the Trust. * Plan and prioritise your workload effectively, balancing planned work programme deadlines with emerging priorities and unexpected requests. * Proofread Information Governance papers, reports and other materials to ensure they are accurate, clear and suitable for publication. * Build positive working relationships with colleagues at all levels across the Trust, contributing to effective team working through clear communication and constructive feedback. * Undertake additional project and administrative duties appropriate to the role as required.
