One person's progress often counts for several funders at once. That only works when every enrollment, service, placement and follow-up is recorded correctly, on time, in every system that funder uses. The Data Management & Quality Coordinator makes sure that happens. The role keeps participant and program data accurate and complete across WorkForce One, MRIS, Alight's internal database (the Customer Platform) and SharePoint. It does a share of the data entry and paperwork itself, and organizes volunteers or temporary help when the volume is more than staff can keep up with. It also turns the data into clear, early answers for the team: where we stand, what's missing, and what has to happen next to meet our commitments. The coordinator creates visibility. The managers and their teams act on it. Together they make sure nothing falls through the cracks., 1. Data quality, compliance and record integrity (30%) * Make sure participant and program records are accurate, complete, consistent and current in every required system. * Run routine quality reviews and reconcile records across systems. Find and resolve missing, inaccurate, duplicate or conflicting information. * Check the records that make outcomes count, for example: * each person is enrolled in every program they qualify for, with eligibility documented * when someone is enrolled in more than one program, the reason is written down and each enrollment is set up the way the funder requires * enrollment happens before a job starts, where a funder requires it * written proof of employment is on file before a participant is exited * case notes are entered at least monthly in each system the person is enrolled in * every outcome claimed has supporting evidence in the case file * Find the root causes of recurring documentation problems, and work with staff and managers to fix and prevent them. * Protect confidentiality, system access and the handling of participant information. 2. Data entry and paperwork support (20%) * Do hands-on data entry, record updates, corrections and paperwork. That includes enrollment forms, eligibility documents, case note entry, employment verification uploads and exit records, so staff can stay focused on participants. * Keep track of the paperwork and data entry backlog, and flag it early when the team can't keep up. * When extra help is needed, coordinate and oversee volunteers or temporary contractors who support data entry and paperwork. Specifically: * Work with the Volunteer Coordinator and the Program Portfolio Lead to bring on the right people for the volume of work. * Make sure each person has signed confidentiality agreements, completed required data privacy and system trainings, and has only the system access they're approved for. * Assign work, train people on Alight's procedures, and check their entries for accuracy. * Keep simple logs of who entered what, and when. 3. Reporting, performance and implementation planning (25%) * Generate and validate reports on enrollments, services, trainings, placements, retention and other outcomes. * Keep a current view of progress against every program target, and share it with the Program Portfolio Lead and managers on a regular rhythm. * Help managers see where they stand and what's left to do. That includes how many people need to move through each stage (training, job search, placement, day 90) and by when. * Use data to help plan the amount and timing of outreach, enrollment drives, trainings, events and follow-up needed to hit targets. * Spot trends, gaps and risks early enough for teams to change course. Watch especially for upcoming funder deadlines and benchmarks. * Provide weekly lists of participants who need action: missing documents, overdue case notes, upcoming 90-day checks, and people who have stalled. * Compile and check data for funder and internal reports. 4. Data systems and process improvement (15%) * Coordinate data processes across WorkForce One, MRIS, Alight's internal database, SharePoint and other required systems. * Keep clear, written procedures for each system: what gets entered, where, by whom and when. * Find ways to cut duplicate entry and simplify paperwork. Build checklists, trackers and templates, such as a case note written once and entered into each system. * Keep the team's eligibility and enrollment reference guide current as program rules change, with the Workforce Placement, Retention, & Growth Manager. 5. Staff support and all-team efforts (10%) * Train staff on documentation requirements, data standards and system use. Create easy reference materials. * Tell staff about data issues clearly and promptly, and follow through until they're fixed. * Help with events, outreach, enrollment drives and trainings when the whole team is needed to meet shared goals. What success looks like * Records in every system match what's actually happening with participants. * Managers always know where each program stands and what has to happen next, before targets are at risk. * Every outcome the team earns is documented so it counts for every funder it should. * The data entry backlog stays manageable, and volunteers and temporary helpers are trained, supervised and accurate. * Funder file reviews find few issues. * Staff spend less time on duplicate entry, because the processes are simple and well documented.
