Exposure to SharePoint, Teams is preferred. * Strong follow through. Proven ability to own a queue and drive overdue work to closure. * Ability to operate with limited direct supervision. * Working knowledge of system security, troubleshooting, and basic cloud concepts. * Excellent organization, written, and verbal communication skills. * Analytical mindset and problem-solving aptitude. * Minimum of an Associate degree in Information Systems, or related field. * Willingness to travel up to 10 percent for on site asset audits and office support when needed. * Bi-lingual in Spanish is a plus. ## Description We are seeking an IT Asset Management Coordinator to own the accuracy of our technology asset records across the enterprise. You will track hardware and software assets from purchase through retirement. You will keep our asset data current in Jira and verify it against what sits on site. This role owns daily ticket follow up. You will drive overdue work to close and keep our queues clean. You will be the person who knows where every asset lives, who holds it, and what state it is in. The ideal candidate is organized, persistent, and detail driven. You chase loose ends. You close gaps before they become problems. You communicate clearly in writing and in person. Duties Asset Management * Order new laptops, iPads, cell phones, monitors, accessories, and replacement equipment. * Own the IT asset inventory in Jira. Keep hardware records accurate, complete, and current. * Manage and track each asset through its full lifecycle: procurement, deployment, assignment, transfer, and retirement. * Reconcile Jira asset records against physical assets on site. Run regular audits to catch and fix discrepancies. * Tag, label, and register new equipment on receipt. Record serial numbers, models, locations, and assigned users. * Update asset status when devices move, change hands, or get decommissioned. Keep location and ownership data true * Submit receipts, invoices, and expense reports related to IT purchases and asset activity. * Coordinate device collection and secure disposal at the end of life. Document chain of custody and data wipe. * Work with the company's third-party telecom expense management provider on consolidated invoicing, mobile line audits, and related reporting. * Need to keep cell phone portals up to date with relevant user assignments. * Coordinate with third-party vendors to obtain warranty support for computers and related equipment. * Assist with maintaining standard hardware models, preferred equipment lists, and replacement recommendations. * Support IT leadership with reporting related to asset inventory, aging devices, mobile lines, and equipment spend. * Coordinate and manage deployment of IT equipment, including shipping IT equipment. * Assist with managing IT invoices, including monthly auditing of purchases. Ticket Ownership and Follow Up * Own daily ticket follow up across the asset and service queues. Review activity every business day. * Identify overdue tickets, stalled requests, and aging items. Drive each one to resolution or escalation. * Track service level targets. Surface tickets at risk before they breach. Keep response and closure times on track. * Document updates clearly in each ticket. Keep requesters informed on status and next steps. * Build and run recurring reports on queue health, overdue activity, and asset changes. Systems and Process * Coordinate with our third party Managed Service Provider (MSP) to complete technical tasks and close tickets. * Create user guides, standard operating procedures, and process documentation for asset and ticket handling. * Recommend improvements to asset tracking, tagging, and reporting. Refine IT policies and procedures over time. * Support onboarding of new businesses into the company portfolio. Capture their assets into our records and systems. * Act as an advocate for end users.
