For example, you can connect your Gmail, Slack or calendar. It’s popping up in all sorts of places. A lot of people, including myself, found this quite annoying because connecting and signing in could be a long, arduous process. However, this is becoming more advanced. These integrations are no longer simply links between applications. Instead, they enable an AI LLM to actually understand your work rather than just provide general answers to questions about it. The fact that AI is now connecting directly to the tools people already use is becoming one of the most important changes to the user experience in software. ## Software Doesn’t Talk to Software Most tools are good at one job and have very little knowledge of anything outside their own environment. The project tracker doesn’t have access to the information in your inbox, and your inbox doesn’t know what’s planned in your calendar. Each application is like its own island, which means the person using them has to do all the linking manually. This involves copying information from one screen to another and having to re-explain the same context to three different tools. All this makes sense. Research into workplace app-switching has shown that knowledge workers switch between dozens of applications each day, losing valuable time in the process. It’s not something you notice at first, but switching between different accounts, applications, screens and tools throughout the day can quickly add up. ## What Connectors Actually Change In this context, a connector is a permitted connection between an AI LLM and another piece of software (such as an email service, a CRM or a document store), which allows the AI to read relevant data and, in some cases, take action on your behalf. Features powered by connectors have appeared in so many products so quickly because standards such as the Model Context Protocol have made them much easier to develop. The practical effect is a different kind of interaction. If you ask an AI to help you prepare for a meeting, it will give you general suggestions on how to run an effective meeting because it doesn’t know who you’re meeting with or what has been discussed or is planned for discussion. When using a connector, however, the AI can access the necessary information, such as your meeting’s calendar invitation, the transcript or notes from your previous meeting with that person, and the tasks listed in your task tracker. It can then use this information to create a preparation sheet tailored to that meeting. This difference in workflow could massively improve and streamline day-to-day tasks, providing much better and more focused answers to work-related questions. ## Why This Changes the User Experience A few familiar things change when software works this way: - **Less repetition.** The necessary background information is already available to the AI, so there is no longer a need to go through the usual setup before asking your actual question. - **Fewer application switches.** What used to require several different tools can now often be handled from a single location. - **Doing instead of sorting.** Instead of being told to check your calendar to find the relevant information, the AI checks it for you and provides a response based on what it finds, allowing you to move forward with tasks more quickly. - **More accurate output.** The AI can provide more focused and specific answers because it can draw on actual data rather than relying on educated guesses. ## The Trade-Offs We should say, all of this convenience comes at a cost. If you connect an AI system to your email or CRM, you’re giving it access to real data, and that access has to be carefully managed. A few factors distinguish a well-designed integration from a poorly managed, risky one: - **Access to only what’s needed.** The integration should request only the permissions a feature actually requires, rather than complete access to an account. - **Visibility and user control.** Users should be able to see which services are connected and what level of access the AI has, and disconnect them at any time without difficulty. - **In-scope information.** The AI should retrieve only the context relevant to the task, rather than accessing all the information available. The actions an AI can take also need clear boundaries, as giving it access to personal or sensitive information raises significant privacy concerns. These aren’t minor points. They distinguish a genuinely useful feature from an invasive data leak waiting to happen. ## Where We Are Heading AI connectors are moving beyond being a feature found in a few tools and are becoming an expectation more broadly. With widely adopted standards, users will increasingly expect their software and tools to already understand the relevant context, rather than asking them to provide it all over again each time. Across all these examples, the same pattern emerges: the greatest improvements in user experience rarely come from adding new buttons or redesigning an interface. They come from eliminating steps that people previously had to perform manually. Products that create streamlined integrations - but with clear permissions and access limited to what’s needed - will probably help define what “good software” means in the coming years. ## Related Articles - [The future is here: How artificial intelligence is influencing UX design](https://www.wearedevelopers.com/magazine/65-the-future-is-here-how-artificial-intelligence-is-influencing-ux-design) - [Navigating the AI Shift](https://www.wearedevelopers.com/magazine/629-navigating-the-ai-shift) - [Transforming Software Development: The Role of AI and Developer Tools](https://www.wearedevelopers.com/magazine/527-transforming-software-development-the-role-of-ai-and-developer-tools) - [What is Software Engineering in the Age of AI?](https://www.wearedevelopers.com/magazine/640-what-is-software-engineering-in-the-age-of-ai) ## Related Videos - [The age of agency: When products start to think and act](https://www.wearedevelopers.com/videos/1925-the-age-of-agency-when-products-start-to-think-and-act) - [Design Patterns For AI Products in 2026](https://www.wearedevelopers.com/videos/100255-design-patterns-for-ai-products-in-2026) - [Designing the intelligence layer: The future of products beyond interfaces](https://www.wearedevelopers.com/videos/2122-designing-the-intelligence-layer-the-future-of-products-beyond-interfaces) - [AI-Driven Interfaces: Designing the New Grammar of Interaction](https://www.wearedevelopers.com/videos/2014-ai-driven-interfaces-designing-the-new-grammar-of-interaction) ## Related Jobs - [Principal AI Forward Deployed Engineer](https://www.wearedevelopers.com/jobs/48531-principal-ai-forward-deployed-engineer) at **Expedia** - [Senior Software Engineer - Semantic Data Lake (Open)SDE3](https://www.wearedevelopers.com/jobs/48597-senior-software-engineer-semantic-data-lake-open-sde3) at **WEX** - [Senior Web Software Architect, AI Experiences](https://www.wearedevelopers.com/jobs/ext/4523834-senior-web-software-architect-ai-experiences) at **TeamViewer Germany GmbH** - [Director, Solution Architect, AI-Native Engineering](https://www.wearedevelopers.com/jobs/ext/3779528-director-solution-architect-ai-native-engineering) at **PwC** - [Microsoft D365 CRM OR AI/CoPilot Functional Lead, Senior Manager](https://www.wearedevelopers.com/jobs/ext/3892969-microsoft-d365-crm-or-ai-copilot-functional-lead-senior-manager) at **PwC** - [Integration Engagement Manager](https://www.wearedevelopers.com/jobs/ext/2936836-integration-engagement-manager) at **Expedia**
