Job description
We are seeking a highly organized and technically capable Office Manager & Team Scheduler to support our alarm, security, and IT service operations. This role combines administrative leadership with hands-on coordination of field technicians and the ability to assist with programming and configuring security and network equipment. The ideal candidate will keep the office running efficiently while ensuring installations, IT service calls, and projects are scheduled, equipped, and executed successfully., Office Management:
- Oversee daily office operations and administrative functions
- Maintain office supplies, service records, permits, and compliance documentation
- Manage vendor relationships and purchasing processes
- Handle incoming calls, service requests, and customer communication
- Support onboarding of technicians and maintain employee records
Team Scheduling & Dispatch:
- Schedule and dispatch technicians for alarm, security, and IT service calls, installations, and maintenance
- Coordinate emergency service requests and adjust schedules as needed
- Track job progress, technician availability, and project timelines
- Communicate schedules, updates, and job details clearly to field staff
- Ensure proper coverage and efficient routing of technicians
Inventory & Parts Management:
- Order inventory, equipment, and parts for security systems and IT projects
- Track stock levels and maintain accurate inventory records
- Coordinate with technicians to ensure required parts and equipment are available before scheduled jobs
- Receive, organize, and manage incoming shipments
- Work with vendors to source materials, manage backorders, and control costs
Technical Support & Configuration:
- Assist with programming and configuration of alarm systems, access control, CCTV, and related security equipment
- Configure and support basic IT and network equipment (routers, switches, firewalls, and IP devices)
- Provide remote troubleshooting support to field technicians and customers
- Maintain documentation of system configurations, network layouts, and customer setups
- Coordinate with vendors or senior technicians for advanced technical issues
Service Calls:
- Perform small service calls for alarm systems, access control, CCTV, and related security equipment, network, and computer jobs.
Requirements
- Experience in office administration, scheduling, dispatching, or inventory coordination (Security or IT industry preferred)
- Working knowledge of alarm systems, CCTV, access control, or low-voltage systems
- Basic to intermediate networking knowledge (IP addressing, routers, switches, firewalls, port forwarding)
- Strong organizational and multitasking abilities
- Excellent communication and customer service skills
- Proficiency with Microsoft Office and scheduling/dispatch software, * Experience with security and networking platforms (e.g., Honeywell, DSC, Bosch, Ubiquiti, or similar)
- Prior experience in alarm, security, or IT service company operations
- Familiarity with inventory management systems or purchasing workflows
- Understanding of local codes, permits, and compliance requirements
- Technical certifications (e.g., networking, security systems, or IT support)
