Job description

  • Responsible for collecting and processing revenue from all donation streams.
  • Responsible for reconciling all donations within the donor database.
  • Responsible for generating database reports to be used in donation and community analysis.

Organization Operations:

  • Responsible for general office duties and maintenance including phones and mail.
  • Responsible for attendance tracking, note taking and action item tracking for board meetings.
  • Responsible for yard sign and banner ordering, storage, cleaning and delivery/pick-up coordination.
  • Responsible for supporting Foundation event planning including attendance at 5-10 Foundation events per school year., * Receives, records, deposits, and tracks gifts and pledges and enters data into donor database.
  • Verifies and follows-up on deposits, pledges, matching gift contributors, and credit card charges andprovides timely information to donors and prospective donors as required.
  • Ensures tax receipts and acknowledgements are sent to donors within a week of donation receipt.
  • Maintains database files and records to track contributions, maintain accurate mailing lists, and trackdonor information.
  • Working with the Foundation Treasurer, prepares end of month database and bank statement reconciliations.
  • Assists in the detail coordination of fundraising events such as facility accommodations, invitations,letters of solicitation, event programs, and entertainment.
  • Track expenses and create check requests for reimbursement. Prepares end of month expense audits.
  • Organizes and sends tax receipt data.

  • Participate in staff meetings, retreats, and special events as needed.
  • Maintain the Foundation's supplies, files, and mailing house account and records to meet printing needs.
  • Execute bulk mailing needs of the Foundation including coordination with mailing house.
  • Maintain the Foundation office and files.
  • Other duties as assigned by the ED or Board of Trustees.

Requirements

  • Bachelor's degree preferred., * One to three years fundraising experience.
  • Experience and skill in working with a Board of Trustees.

PROFESSIONAL COMPETENCIES:

  • Knowledge of non-profit operations, characteristics, services, and activities.
  • Knowledge of MS Office suite (Word, PowerPoint, Excel.)
  • Knowledge of donor database systems and prospect software programs.

SKILLS/ABILITIES:

  • Strong oral and written communications abilities.
  • Solid analytical and technical skills.
  • Ability to manage many responsibilities independently as well as part of a team.

WORKING CONDITIONS:

  • Periodic driving to offsite locations of varying distances.
  • Operation of various office machines and electronic equipment expediently and efficiently.
  • Occasional lifting, pulling, pushing of 50 lbs of weight independently.
  • Physical movement from one work area to another, often rapidly, especially during events.
  • Extended work hours, sometimes on weekends and in the evenings, during special events.
