Job description

Today, hundreds of automations sit behind our CRM and operational systems, quietly keeping the business moving. Some are simple. Others rely on multiple workflows, triggers and business rules working together.

This role exists to own, improve and evolve that automation ecosystem as our business continues to grow.

This isn't a CRM administration role.

You'll become one of the people responsible for understanding how our automation ecosystem works, improving it and ensuring it continues to evolve alongside the business.

  • The best equipment and technology to do your job, including a dual-widescreen working area, As our CRM & Workflow Automation Specialist, you'll take ownership of the ongoing development, improvement and maintenance of Allerton's CRM automation ecosystem.

Working closely with our in-house Business Systems Developer and wider Business Improvement function, you'll help bridge the gap between operational process, CRM automation and workflow design-ensuring our systems continue to evolve alongside the business.

This role sits within a collaborative and fast-evolving area of the business focused on continuous improvement, smarter workflows and operational scalability.

Alongside our existing CRM and automation landscape, we are also actively developing internal operational platforms and tools designed specifically around the way our business operates in the real world.

You'll work across departments to understand operational challenges, design practical automation solutions and continuously improve the systems, workflows and processes that support our people every day.

We currently use platforms such as Pipedrive and Make to support automation and operational workflows.

Our CRM currently contains hundreds of native automations alongside additional workflows built using Make and connected operational systems. This role is about understanding, maintaining and continually improving that ecosystem.

This is a hands-on role focused on ownership, logical problem solving and helping the business work smarter as we continue to grow.

Whilst you'll work closely alongside our Business Systems Developer, this role is centred around owning our CRM automation ecosystem, continuously improving workflows and helping the business get the very best from its systems. Where a challenge requires bespoke development rather than automation, you'll collaborate to ensure the right solution is delivered., * Owning the ongoing development, optimisation and maintenance of our CRM automation ecosystem

  • Building, configuring and maintaining workflow automations using platforms such as Make and Pipedrive
  • Troubleshooting automation issues and understanding workflow dependencies to identify root causes
  • Investigating automation failures and confidently identifying, testing and implementing solutions
  • Continuously reviewing existing automations and identifying opportunities for improvement
  • Working collaboratively with operational teams to understand problems and design practical automation solutions
  • Supporting the ongoing development and optimisation of our CRM ecosystem
  • Improving how information flows between systems, departments and people
  • Mapping business processes and identifying opportunities to reduce manual administration
  • Testing workflows, automations and new functionality before deployment
  • Maintaining clear documentation for workflows, automations and business logic
  • Supporting the successful rollout and adoption of new systems and operational improvements
  • Partnering with our Business Systems Developer where bespoke integrations or development are required
  • Championing continuous improvement across the business through smarter systems and automation, As Allerton continues to grow, our CRM and automation ecosystem is becoming increasingly important to how we maintain quality, consistency and visibility across the business.

Hundreds of workflows already support our day-to-day operations, and as we continue to scale, maintaining, improving and expanding that automation landscape will become even more critical.

This role exists to ensure our systems continue to evolve with the business-reducing manual administration, improving operational visibility and enabling our teams to focus on delivering exceptional service.

WHAT SUCCESS LOOKS LIKE

Within your first 6-12 months, we'd love for you to:

  • Become confident navigating and troubleshooting our CRM automation landscape
  • Identify and deliver automation improvements that reduce manual administration
  • Become the go-to person for CRM workflow and automation queries across the business
  • Partner with our Business Systems Developer to deliver more advanced automation and integration projects
  • Leave our systems better than you found them

You have experience working with CRM platforms and workflow automations, and you understand that behind every successful automation is good business logic.

You're comfortable following information through multiple systems, understanding why an automation behaves the way it does and confidently troubleshooting when something doesn't work as expected.

You enjoy taking ownership of problems and building solutions that are practical, scalable and easy for other people to use.

You're just as comfortable talking to operational teams about their frustrations as you are configuring workflows or improving automation logic.

You understand that sometimes the best solution isn't another automation-it's improving the process first.

Most importantly, you're someone who enjoys taking ownership., You know when to work independently, when to collaborate with others and when a challenge requires bespoke development rather than another automation.

Above all, you're curious, pragmatic and excited by the opportunity to help shape how a growing business operates behind the scenes., Please note: exceptions to this role's experience requirements can be made for outstanding candidates who demonstrate exceptional aptitude and hands-on automation capability.

This role is best suited to candidates who already have experience administering or owning a mature CRM platform alongside building, configuring, improving or maintaining workflow automations.

We're specifically looking for somebody who understands the logic behind automations-not simply how to build them.

Ideally, you'll have experience working within an established CRM automation environment, understanding how workflows interact, troubleshooting automation issues and confidently making improvements without disrupting wider business processes.

Experience with platforms such as:

  • Pipedrive
  • HubSpot
  • Salesforce
  • Zoho
  • Make
  • Zapier
  • Power Automate
  • n8n

or similar CRM and workflow automation platforms would be highly beneficial.

You should be comfortable:

  • Thinking logically about workflow design and automation dependencies
  • Troubleshooting automation issues and identifying root causes
  • Understanding how systems and data interact
  • Improving operational efficiency through technology
  • Taking ownership of automation challenges from investigation through to implementation
  • Communicating technical concepts clearly to non-technical colleagues
  • Collaborating with both operational teams and technical developers where appropriate
