The Information Technology Coordinator (IT Coordinator) oversees and maintains information systems including hardware, enterprise and other software, telephones, cell phones, tablets, electronic mail, internet connections, and networks. They plan, coordinate, and provide education on any changes related to technology, software, or information systems. The IT Coordinator creates and follows policies and processes to maintain IT systems' security and integrity. They coordinate with vendors to maintain system integrity and security, adhering to HIPAA standards. The IT Coordinator is a salaried position.
RESPONSIBLE TO: Executive Director of Operations, This job description is not intended to be all-inclusive, and employees may be required to perform other duties as needed to meet the ongoing needs of the organization. Omission of specific duties does not exclude them from the position if the work is similar, related, or logical assignment to the position., * Coordinates IT department operations to ensure the efficient day-to-day delivery of technology services, including the timely planning, installation, maintenance, and upgrade of hardware and related systems.
- Coordinates routine system maintenance, data backup and recovery processes, and user access management to ensure the security, availability, and integrity of organizational information systems.
- Maintains and updates relationships with vendors for IT needs, ensuring continuous access to e-mail, internet, VPN lines, and websites.
- Assists with the development, monitoring, and tracking of the IT budget, ensuring expenditures are accurately recorded and reported in a timely manner.
- Makes recommendations on the purchase of new equipment/software.
- Ensures computer security to safeguard against accidental or unauthorized modification
- Develops level of access, password and controls to ensure compliance with HIPAA and other information technology security/viability measures & participates in audits of IT systems & any potential security risks.
- Manages phone systems and cellular systems working with telecom providers.
- Orders office equipment and oversees maintenance of equipment and security systems.
- Manage the IT inventory log.
- Trains staff as assigned in computer usage and develop educational materials to assist staff with day-to-day operational issues.
All other duties assigned by supervisor within scope of work knowledge
Requirements
- Associate Degree in Information Systems or 2+ years of related field experience.
- Two years' experience in the computer field with experience in network management.
- Ability to multi-task.
- Current Kentucky Driver's License and unlimited use of a reliable automobile with appropriate insurance
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of Microsoft Windows, Microsoft 365, Active Directory, networking concepts, and common business applications.
- Experience working in a nonprofit organization preferred.
- Working knowledge of HIPAA Security Rule requirements, cybersecurity principles, and information security best practices.
- Ability to install, configure, troubleshoot, and maintain computer hardware, software, printers, mobile devices, and peripheral equipment.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced healthcare environment.
- Strong analytical, organizational, and problem-solving skills.
- Excellent customer service and interpersonal skills with the ability to explain technical concepts to non-technical users.
- Experience managing vendor relationships and coordinating technology purchases.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Strong written and verbal communication skills.
- Proficiency with documentation, inventory management, and basic budget tracking.
PHYSICAL REQUIREMENTS:
The employee must have the ability to lift and/or move a minimum of forty pounds using proper body mechanics and safety measures. Individual job responsibilities may require lifting more than 40 pounds on occasion. Employees are regularly required to see, talk and hear; frequently required to sit, stand or walk and use hands; to handle, finger or feel objects, tools or controls.
