Job description
The Payroll & HRIS Administrator is responsible for the administration, accuracy, compliance, and continuous improvement of the organization's payroll and Human Resources Information Systems (HRIS). This role serves as the primary owner of payroll processing while also managing HR technology platforms, data integrity, system configurations, reporting, and integrations., Payroll Administration & Compliance
- Process full-cycle payroll for hourly, salaried, and contract employees in accordance with established pay schedules.
- Maintain employee payroll records including new hires, terminations, compensation changes, deductions, garnishments, and tax elections.
- Verify timecards, attendance records, PTO balances, overtime calculations, and pay adjustments prior to payroll submission.
- Prepare and review pre-payroll and post-payroll audits and reports to ensure payroll accuracy and completeness.
- Calculate and process bonuses, commissions, retroactive pay, off-cycle payrolls, and manual adjustments.
- Manage payroll tax filings, garnishments, child support orders, wage verifications, and other payroll-related compliance activities.
- Coordinate year-end payroll activities including W-2 and 1099 processing, reconciliations, and reporting requirements.
- Ensure payroll practices comply with all federal, state, and local wage and hour laws, tax regulations, and company policies.
- Maintain payroll records in accordance with retention schedules and audit requirements.
- Develop, maintain, and improve payroll policies, procedures, and internal controls.
HRIS Administration & Systems Management
- Serve as the primary administrator for HRIS, payroll, and timekeeping systems, including configuration, security, workflows, business rules, and organizational structures.
- Configure and maintain HRIS modules including Core HR, Payroll, Benefits, Time & Attendance, Talent, and other applicable modules.
- Manage system upgrades, patches, testing, implementations, and new feature rollouts.
- Troubleshoot system issues and coordinate resolutions with vendors, IT, and internal stakeholders.
- Maintain data governance standards, security protocols, and compliance requirements related to employee information and system access.
- Monitor and manage system performance to ensure reliability, accuracy, and efficiency.
Data Integrity, Reporting & Analytics
- Conduct regular audits of employee data, payroll records, compensation structures, deductions, and organizational hierarchies to ensure accuracy and compliance.
- Develop and maintain standard reports, dashboards, and ad hoc analyses for HR, Finance, auditors, and leadership teams.
- Support workforce planning, budgeting, compliance reporting, and strategic decision-making through data analysis and insights.
- Reconcile payroll data with financial records and assist with payroll journal entries and general ledger support.
- Ensure compliance with data privacy regulations and internal security standards.
Integrations & Technical Operations
- Manage integrations between HRIS and related systems including payroll, benefits administration, applicant tracking systems, learning management systems, and financial platforms.
- Monitor data flows and troubleshoot integration issues to ensure seamless system interoperability.
- Partner with HR, Finance, and IT teams to support system architecture, enhancements, and optimization efforts.
- Support implementation projects, including UKG enhancements, module implementations, and post-go-live system maintenance.
Employee Support & Cross-Functional Collaboration
- Serve as the primary point of contact for employee questions regarding payroll, deductions, taxes, benefits, and HRIS functionality.
- Partner with HR on onboarding, offboarding, leave management, compensation changes, and benefit administration processes.
- Collaborate with Finance on payroll reconciliations, budgeting, forecasting, and audit support.
- Develop training materials, user guides, and process documentation for payroll and HRIS-related processes.
- Train managers, HR staff, and employees on system functionality, self-service tools, and best practices.
Process Improvement & Change Management
- Identify opportunities to automate processes, streamline workflows, and improve data accuracy across payroll and HR operations.
- Lead change management efforts related to system implementations, upgrades, and process improvements.
- Evaluate current HR technology capabilities and recommend enhancements, additional modules, or new solutions.
- Manage vendor relationships, contracts, and service-level agreements related to payroll and HR technology platforms.
- Support continuous improvement initiatives that enhance employee experience and operational efficiency.
Requirements
Acting as a key partner to Human Resources, Finance, IT, and business leadership, this position ensures employees are paid accurately and on time while leveraging HR technology to support operational efficiency, compliance, workforce analytics, and strategic business initiatives. The ideal candidate combines technical expertise with strong analytical skills, attention to detail, and a commitment to delivering an exceptional employee experience., * Strong understanding of payroll regulations, tax laws, wage and hour compliance requirements, and payroll best practices.
- Expertise with HRIS and payroll systems, preferably UKG, including payroll, timekeeping, benefits, and reporting modules.
- Experience with system configuration, workflow management, security administration, and integrations.
- Advanced Excel skills and the ability to analyze, reconcile, and interpret large data sets.
- Strong analytical and problem-solving skills with exceptional attention to detail and accuracy.
- Excellent communication, customer service, and stakeholder management skills.
- Ability to maintain confidentiality and manage sensitive employee information with discretion.
- Strong project management and organizational skills with the ability to manage competing priorities and deadlines.
- Ability to work independently while collaborating effectively across departments., * Bachelor's degree in Human Resources, Accounting, Finance, Information Systems, Business Administration, or a related field preferred but not required.
- 3-5+ years of progressive experience in payroll administration, HRIS administration, or a combined payroll/HR technology role.
- UKG experience is strongly preferred.
- Certified Payroll Professional (CPP), SHRM-CP, PHR, or HRIP certifications are a plus.
Language Ability
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to speak effectively before groups of customers or employees of an organization.
