Job description

The Front Office Administrator / Administrative Coordinator is the first point of contact for patients and visitors, ensuring every patient receives a professional, welcoming, and efficient experience. This role is responsible for managing daily front office operations including scheduling, patient check-in/check-out, account support, and administrative coordination.

This position plays a key role in supporting patient progression by assisting with report generation, coordinating records and referrals, and collaborating closely with the Patient Advocate and Marketing Team to ensure patients receive timely communication and follow-through throughout their care journey. The ideal candidate is detail-oriented, organized, proactive, and thrives in a fast-paced, high-standard clinical environment.

Key ResponsibilitiesPatient Experience & Front Desk Operations

  • Greet patients and visitors in a warm, professional, and welcoming manner
  • Manage patient check-in and check-out including verifying forms, insurance information, and payments
  • Maintain a calm, helpful, and service-focused environment at all times
  • Answer phones, return voicemails, and respond to patient questions with professionalism and accuracy

Scheduling & Daily Office Flow

  • Manage daily scheduling, cancellations, and follow-up appointments
  • Coordinate treatment appointments with clinical team availability and patient needs
  • Ensure the schedule is optimized to support efficient patient flow and reduce delays
  • Confirm appointments and support patients with pre-visit communication as needed

Reporting, Records, and Administrative Coordination

  • Run and organize daily/weekly/monthly reports for management and leadership
  • Maintain accurate patient account ledgers and assist with financial tracking/reporting
  • Obtain and organize patient records needed for treatment planning (medical/dental records, imaging, referral documents, etc.)
  • Coordinate referral requests and communication with outside offices and healthcare providers
  • Ensure documentation is complete and prepared to help move patients forward with treatment
  • Manage Account recievables

Collaboration with Patient Advocate & Marketing Team

  • Assist the Patient Advocate in tracking patient progress and follow-up needs
  • Support patient communication workflows and ensure no patient "falls through the cracks"
  • Assist marketing team with patient scheduling coordination, inquiries, and intake follow-up
  • Help identify trends or bottlenecks through reporting that can improve patient conversion and care coordination

General Administrative Duties

  • Perform general office administrative tasks such as filing, scanning, data entry, and correspondence
  • Maintain office cleanliness and front desk presentation (professional, organized, patient-ready)
  • Ensure daily tasks are completed accurately and aligned with office best practices
  • Support the clinical and administrative team as needed to ensure smooth operations

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong computer literacy and ability to learn new systems quickly
  • Comfortable working in fast-paced environments and managing multiple priorities
  • Highly organized and detail-oriented
  • Excellent communication skills with patients, staff, and referring providers
  • Ability to handle confidential information with professionalism (HIPPA compliance)
  • Reliable, punctual, and committed to high standards of care and service
  • Previous dental or medical front desk experience is a plus, but not required
  • Familiarity with dental software and medical terminology is helpful (not required), * High school or equivalent (Required)
