Job description
The Grant Support Analyst provides clerical and administrative support for the implementation of federal and state grant programs. This position assists with purchasing processes, financial documentation, and grant-related recordkeeping while serving as a liaison between school sites, program staff, and the business office. This role also supports staff understanding of grant procedures by coordinating and delivering basic training on purchasing processes, documentation requirements, and time and effort reporting. This position supports compliance with grant requirements but does not make determinations regarding allowability of costs, approve expenditures, or perform fiscal oversight functions., * Assist staff with completion and collection of time and effort documentation (i.e. PARs or semi-annual certifications.
- Maintain organized records of time and effort documentation in accordance with district procedures.
- Provide reminders and follow-up to staff to ensure timely submission.
- Support training of staff on proper completion of required documentation.
- Assist in developing and delivering basic training for school and program staff on grant purchasing procedures, required documentation for expenditures, time and effort reporting requirements.
- Create and maintain user-friendly guidance materials, templates, and checklists.
- Provide ongoing support to staff with routine questions related to grant processes and procedures.
- Coordinator training schedules and maintain records of staff participation.
- Assist in preparing documentation for audits, monitoring visits, and grant reviews.
- Ensure records are maintained in accordance with district and retention requirements.
- Maintain templates and assist with compiling required documentation.
- Provide clerical support in the preparation of grant applications, including formatting budgets and narratives.
- Serve as a point of contract for routine communication between school sites, program staff, and the business office.
- Assist in coordinating information needed for grant budgets, expenditures, and reporting.
- Support cross-department collaboration to ensure efficient grant implementation.
- Assist with special projects related to grant administration and compliance.
- Support direct initiatives that align with grant program objectives.
- Performs all other duties as assigned, as allowable by grant funding.

Requirements
High school diploma required. Associate's degree in related field preferred.
Experience:
Minimum 2-3 years' experience in clerical, administrative, or office support roles required. Experience with spreadsheets and standard office software required. Experience working in a school district or public sector environment preferred. Familiarity with grant-funded programs or purchasing processes preferred. Experience supporting training or onboarding staff preferred.
Skills:
Strong organizational and detail-oriented skills. Ability to explain procedures and processes to staff in a clear, user-friendly manner. Experience maintaining accurate records and documentation. Basic understanding of purchasing and accounting procedures. Ability to develop simple training materials and deliver group training. Strong interpersonal and communication skills.
