Job description
We are excited to offer a rare opportunity to join our integral property team as a Property Coordinator Helpdesk. This role is crucial for managing the relocation, refurbishment, or minor works of our portfolio of properties globally, as well as maintaining all properties. This position is ideal for a highly organised individual looking to join a global organisation where training and development are paramount.
Day-to-day of the role:
- Manage the property helpdesk email account, addressing all maintenance issues and potential complaints
- Act as the first point of contact for emergency property maintenance calls from offices
- Responsible for logging calls on the property database and booking contractors to address onsite problems
- Follow up on the progress of jobs, ensuring timely resolution
- Collate quotes and obtain necessary sign-offs/authorisations
- Check and code invoices for payment
- Compile reports using data from the database and undertake ad hoc administrative tasks as required
- Maintain contracts for all services related to the portfolio of properties
- Ensure all properties comply with Fire and Health & Safety regulations

- Professional communication skills, especially over the telephone, to instil confidence when dealing with internal customers at all levels
- Assertiveness and persuasiveness in dealing with external contractors
- Determination to resolve issues swiftly and effectively
- Strong computer skills and excellent attention to detail
- Ability to prioritise tasks to address the most urgent issues promptly
