Job description

  • Maintain and update the programme RAID log under the direction of the Senior PMO Lead, chasing workstream leads for status updates and evidence.
  • Collect and consolidate weekly/bi-weekly status inputs from workstreams into the agreed reporting templates, flagging gaps or inconsistencies before they reach the Senior PMO Lead.
  • Prepare first drafts of steering committee and programme board packs (status slides, RAG summaries, action trackers) for senior PMO review.
  • Support stage gate administration: circulating gate templates, tracking submission of evidence packs, chasing sign-offs, and maintaining the gate tracker.
  • Own meeting logistics and hygiene for programme governance forums: agendas, minutes, action logs, and follow-up on outstanding actions.
  • Maintain document control and version tracking for governance artefacts (plans, RAID logs, gate packs, sign-off records) in the agreed repository (SharePoint/Jira/ServiceNow).
  • Support resource and capacity tracking by keeping demand/allocation trackers current with input from workstream leads.
  • Assist with change control administration: logging change requests, tracking approval status, and updating the change log.
  • Support cutover and go-live governance by maintaining readiness checklists and consolidating hypercare status logs.
  • Act as first point of contact for workstream leads on routine PMO queries, escalating anything non-routine to the Senior PMO Lead.

Requirements

  • 2-4 years' experience in a PMO, project coordination, or reporting/analyst role, ideally on an SAP or large ERP transformation programme.
  • Familiarity with SAP Activate phases and stage gate concepts is a plus; direct S/4HANA experience not required.
  • Strong Excel/PowerPoint skills and comfortable consolidating data from multiple sources into clear, consistent reporting.
  • Well organised and detail-oriented, comfortable chasing inputs and keeping trackers accurate under deadline pressure.
  • Clear written and verbal communicator able to work with workstream leads across countries and functions.
  • Working knowledge of collaboration/tracking tools (SharePoint, MS Suite, ServiceNow, MS Project, or equivalent).
  • Fluent English required; additional EMEA languages (French, German, Spanish, Italian) an advantage.
  • Entry-level PMO or project management certification (eg PRINCE2 Foundation, CAPM) welcomed but not required.
  • Driven, Energetic, positive 'can do' attitude is essential.
