Job description

We are a growing Non-Emergency Medical Transportation (NEMT) provider seeking a Dispatch Operations & IT Systems Administrator to manage our scheduling and dispatch software platform - the backbone of our scheduling, dispatch, billing, and fleet operations. This role is critical to keeping our transportation services running smoothly, efficiently, and in compliance with payer and regulatory requirements. You'll be the go-to person for dispatch operations, system configuration, troubleshooting, integrations, reporting, and training staff and drivers on the platform., Dispatch Operations & Platform Administration

  • Serve as the primary system administrator for our scheduling/dispatch software, including user accounts, permissions, and role setup
  • Configure and maintain trip scheduling, dispatch, and routing/optimization settings
  • Manage driver and vehicle profiles, availability, and mobile app (driver app) setup
  • Monitor system performance and troubleshoot day-to-day issues, escalating to the software vendor's support team when needed

Billing & Integrations

  • Support billing workflows, including Medicaid broker integrations and claims/invoice exports
  • Manage integrations with accounting software, GPS/fleet tracking, and other third-party tools
  • Ensure trip data, mileage, and billing codes are accurate and properly synced

Reporting & Data

  • Build and maintain operational reports (on-time performance, no-shows, driver utilization, revenue per trip, etc.)
  • Pull data for compliance audits, broker reporting, and management decision-making
  • Identify trends and flag data discrepancies

Training & Support

  • Train dispatchers, schedulers, and drivers on proper use of the dispatch platform and driver mobile app
  • Create simple how-to guides/SOPs for common tasks
  • Act as first-line help desk for staff experiencing software issues

System Optimization

  • Recommend and implement workflow improvements as the business scales
  • Stay current on platform feature updates and evaluate new tools/modules as needed
  • Support IT needs for related office systems (email, phones, tablets/hardware used by dispatch and drivers)

Requirements

  • 2+ years of experience in dispatch operations, IT, software administration, or systems support
  • Strong computer proficiency; comfortable learning and administering SaaS/cloud-based platforms
  • Excellent troubleshooting and problem-solving skills
  • Strong communication skills - able to train non-technical staff clearly
  • Detail-oriented, especially around scheduling, billing, and compliance-related data

Preferred

  • Direct experience with NEMT/transportation dispatch software
  • Familiarity with NEMT industry operations, Medicaid transportation brokers, or healthcare transportation compliance
  • Experience with reporting/BI tools (Excel, Power BI, or similar)
  • Experience with GPS/telematics or fleet management systems
