Job description

Internal and Pool Candidates Only - Perm / Security Administrator (Members' Personal Safety Team) - Grade 2 / Security Office / PT / 31 Hours This role is open to internal candidates who are currently or have recently joined our Grade 2 Administration Pool, including MSP staff. We are no longer accepting external applications for our Administration Pool at this time. Please visit to view our latest vacancies. For Scottish Parliament staff, further information on how to join the pool is available on our Working pattern: This is a part-time post working 31 hours over Monday to Friday. We're committed to supporting staff to achieve a healthy work-life balance and are happy to talk about flexible working. This is a hybrid role, working from Holyrood, and from home. About the role This is an excellent opportunity to join the Security Office as a Security Administrator. As a Security Administrator in the Members personal safety team, you will provide high-quality administrative, financial, and organisational support to the Members' Personal Safety Team, helping to ensure effective delivery of personal security arrangements for Members and their staff. Reporting into the Grade 4 Members Personal Safety Advisor, you will proactively develop and improve processes, maintain accurate and confidential records, coordinate suppliers for security measures, and support the smooth running of office workflows. Working closely with colleagues across the Security Office, you will contribute to a safe, secure, and welcoming parliamentary environment while embracing continuous improvement and collaborative working. The Security Office is responsible for maintaining a safe, secure, yet welcoming environment for those who work in and visit the Parliament. We provide a visible and reassuring presence throughout the building 24 hours a day, 7 days a week. We are responsible for security vetting and the issue of passes, monitoring the Parliamentary estate, responding to incidents in the building, facilitating protest, and managing entry and movements around the building. The Security Office also provides security advice and measures to Members and their staff. We are a values-based organisation. Our values are a central part of our working culture and our people management processes. We use these to recruit, manage and develop our staff.

Requirements

The successful candidate will be well-organised, methodical, and committed to delivering excellent administrative support in a sensitive and confidential environment. You will have strong attention to detail, confidence in using corporate systems such as Office 365 and SharePoint (or a willingness to develop these skills), and the ability to positively question and improve existing processes. With good interpersonal and communication skills, you will be approachable, resilient, and comfortable working collaboratively, including supporting colleagues, training others where required, and responding constructively to feedback in line with the Parliament's values of excellence, respect, stewardship, and inclusiveness. You'll demonstrate a high level of personal credibility and integrity, with excellent communication skills, and the ability to develop and maintain positive working relationships with colleagues and others. As an experienced administrator you'll use your IT and digital skills to support the work of the team. You'll have good Parliamentary awareness and have the willingness to acquire new knowledge and skills. With the ability to work under pressure and to tight deadlines, you'll have excellent organisation and time management skills.
