Job description
The Onboarding Systems Coordinator is responsible for executing employee onboarding, maintaining user access, and providing first-level systems support across core operational, safety, training, and productivity platforms. This role ensures employees are properly set up, trained, and supported in day-to-day system use while maintaining accurate records and documentation.
This position focuses on user guidance and instruction, execution, consistency, and reliability, allowing senior systems and operations leadership to focus on strategy, integrations, and optimization.
Essential Functions
Employee Onboarding & User Management
- Execute end-to-end employee onboarding across assigned systems in accordance with documented procedures and checklists
- Set up, modify, and deactivate user accounts based on defined role requirements and approvals
- Maintain onboarding checklists and verify completion across all required platforms
- Ensure timely and accurate removal of system access during employee offboarding
Systems Support & Troubleshooting:
- Serve as the first point of contact for system access requests and basic usage issues
- Provide day-to-day support for Primary and Secondary platforms as defined in the Systems Support Matrix
- Troubleshoot routine issues using established documentation and known solutions
- Escalate system-level, configuration, or out-of-scope issues to designated system owners
Training & Documentation
- Assign and track safety, compliance, and operational training across supported platforms
- Provide basic system and process training during employee onboarding and system rollouts
- Maintain accurate, up-to-date documentation, reference guides, and onboarding materials
- Create and update Standard Operating Procedures (SOPs) related to onboarding and system usage
Data Accuracy & Reporting Support
- Maintain accurate user, access, and training records across platforms
- Assist with basic onboarding, training completion, and system usage reports as requested
- Identify data inconsistencies and coordinate corrections through proper channels
Requirements
Do you have experience in Technical Proficiency?, Do you have a High school diploma or GED?, * High school diploma or equivalent required; associate or bachelor's degree in business administration, information systems, or a related field is a plus
- Reliable, independent transportation with the ability to report as scheduled to Moncks Corner, SC or other ESI offices
- Experience with data entry, administrative support, systems coordination, or IT-related tasks
- Strong computer proficiency, including Apple hardware, Microsoft Office Suite, cloud-based software, and Google Workspace
- Ability to learn and navigate industry-specific platforms, including Brainier LMS, Traqspera, Trimble ERP (user onboarding scope only), and WEX fuel management systems
- High attention to detail and accuracy in data entry, validation, comparison, and documentation
- Strong organizational and time-management skills with the ability to manage defined tasks and deadlines
- Ability to work independently within established procedures while coordinating with cross-functional teams
- Clear written and verbal communication skills, particularly when explaining processes and system usage
Preferred:
- Experience supporting safety, training, or operations software platforms
- Experience using Apple technology
- Familiarity with LMS, fleet, or field operations systems
- Experience supporting employees across multiple systems simultaneously
- Exposure to cloud-based data tools, workflow automation, or platforms such as monday.com or MaintainX
- Familiarity with fuel management and fleet tracking systems (e.g., WEX, SmartFill)
- Basic understanding of construction, industrial services, fleet operations, or environmental services environments
- Experience creating or maintaining SOPs, training guides, or onboarding documentation

Hours of Work
- Typical week will consist of Monday - Friday, 8-10 hours per day, * Medical, Dental, Vision, Life, AD&D, EAP, Teledoc, Short Term Disability, Long Term Disability, Accident/Critical Illness (1st of month after 30 days of employment), 401k (after 60 days of employment with company matching after 1 year of employment)
