Job description
Serves as the district receptionist, answering phone calls and providing customer service to patrons who call or come into the Support Services building along with assisting in Communications projects, awards and events., 1. Answers all incoming calls, takes reliable messages, and routes to appropriate staff.
- Knowledgeable of school information (names, and addresses, etc), principal/administrator/board member names; knows appropriate staff to route calls to when callers ask questions.
- Assists the Superintendent and Communications offices with duties as needed.
- Handles upset patrons in a professional manner as needed.
- Updates employee phone list on a regular basis.
- Manages the paging system in the Support Services building.
- Monitors emergency calls from campuses as needed.
- Greets and helps guests who enter the Support Services building.
- Coordinate and manage the Nine Week Awards process (590 Awards, Teacher Recognition, Student Recognition), including developing and communicating timelines to campus principals, preparing and printing award certificates; assembling campus envelopes with certificates, stickers, and food coupons for distribution
- Train and provide ongoing assistance on conference room reservation procedures and scheduling protocols
- Assist with District events and Board meetings, including guest check-in, hospitality coordination, and setup and breakdown of event spaces
- Represents the district in a friendly and professional manner.
- Maintains confidentiality.
- Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
- Other duties as assigned.
Requirements
- High School Diploma or GED is required., 1. Professional and friendly personality when greeting and helping guests.
- Effective communication and interpersonal skills with media, public, and staff.
- Ability to use personal computer and software to develop spreadsheets and answer phone calls.
- Bilingual speaking preferred.
Experience / Other Requirements:
- Three years of clerical / office experience, preferably in a public education environment., 1. Works with frequent interruptions, maintain emotional control under stress.
- Repetitive hand motions.
- Prolonged use of phone/computer.
- Ability to lift a minimum of 20 pounds if required.
