If so, then come join our award winning team!, Alta Equipment Group - Material Handling is seeking a full-time Rental Operations Reporting Support and Coordinator for our Livonia, MI headquarters. The Rental Operations Specialist ensures the accuracy, organization, and usability of rental operational data while supporting administrative coordination for the rental leadership team. This role works directly inside business systems to maintain records, process transactions, and validate operational activity. The position builds reliable reporting by cleaning and analyzing data, identifying trends that impact utilization and performance, and supporting SOX compliance and internal audit requirements. The role combines rental coordination, operational reporting support, system record maintenance, and administrative support for the rental leadership team.
The primary responsibilities of the position consist of, but are not limited to:
Rental Coordination and Customer Support
- Identify customer rental needs and coordinate equipment availability.
- Arrange equipment transfers, deliveries, returns, and replacements.
- Monitor fleet availability, utilization, and equipment returns.
- Support repair and maintenance scheduling for rental equipment.
- Close rental deals from inbound inquiries and outbound calls.
- Provide customers with guidance on equipment selection.
- Support the outside sales team with rental opportunities.
- Maintain strong customer and vendor relationships.
Operations and Fleet Support
- Assist branches with rental transactions and contract setup.
- Coordinate equipment sourcing for rental placements.
- Help ensure rental equipment is properly tracked and maintained.
- Support operational coordination during periods of increased rental activity.
Reporting and Data Support
- Assist with maintaining operational reports using Excel and Power BI.
- Review rental data for accuracy and help identify data errors.
- Support reporting related to utilization, equipment activity, and billing accuracy.
- Assist leadership with requested reports and operational information.
System Records and Administrative Support
- Maintain equipment and contract records within the ERP system.
- Assist with purchases, receiving, and inventory adjustments.
- Maintain work orders and preventive maintenance records.
- Support documentation related to contracts, pricing programs, and rental activity.
- Schedule meetings, track action items, and assist with department coordination.
- Support special projects and operational initiatives as needed.
Incorporate Alta's Guiding Principles into daily activities.
Performs other duties as assigned.

- Work Environment: Occasionally will work near wet or humid conditions (non-weather), work near moving mechanical parts, work in high, precarious spaces, outdoor weather conditions, vibration
Requirements
- Expert level Microsoft Excel
- Complex formulas and nested functions
- Pivot tables and large dataset management
- Data validation and auditing
- Power Query strongly preferred
- Intermediate Power BI experience
- Data modeling fundamentals
- Report publishing and maintenance
- Experience transacting within business or ERP systems
- Strong analytical and problem-solving skills
- Ability to manage multiple priorities with high attention to detail
- Experience with Infor and Microsoft Dynamics 365 highly preferred
- Equipment rental, fleet, dealership, or operational industry background preferred but not required
- Basic SQL knowledge would be a plus
- Exposure to SOX controls or audit processes experience
- Experience supporting operational leadership teams
- 4 years of overall experience preferred
- Language Skills - Intermediate: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
- Mathematical Skills - Basic: Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
- Reasoning Ability - Intermediate; Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
