Job description

The CRM, Finance & IT Coordinator is a pivotal member of the Blood Cancer Foundation of Michigan's operations team, responsible for ensuring the accuracy, functionality, and integration of the organization's data, financial systems, and technology infrastructure.

This individual manages the donor database (CRM), supports accounting functions, coordinates technology systems, and ensures secure and efficient operations across all platforms. They help the organization function seamlessly behind the scenes - enabling staff to focus on serving patients, donors, and community partners with excellence.

Additionally, the Coordinator supports the Development and Communications team related to tech, website, coordinating appeal letters, and additional duties to grow revenue.

Reports To:

Director of Development and Partnerships (with dotted-line reporting to Director of Finance and Communications Manager), 1. CRM & Donor Data Management

  • Serve as primary administrator for the organization's donor CRM (DonorPerfect).
  • Enter, manage, and maintain all donor and gift data with precision, ensuring accuracy and confidentiality.
  • Generate reports, dashboards, and donor lists to support fundraising campaigns, appeals, and board reports.
  • Maintain data hygiene, perform regular backups, and ensure consistency between CRM and accounting systems.
  • Support the development team with segmentation, donor tracking, and campaign reporting.
  1. Donor Stewardship & Communication
  • Generate and mail thank-you and acknowledgment letters promptly for all donations.
  • Coordinate donor communications such as tax receipts, stewardship touchpoints, and special recognition mailings.
  • Support the development and communications teams with data for newsletters, annual reports, and campaigns.
  • Coordinate the production of appeal letters in consultation with the President and CEO
  1. Finance & Bookkeeping
  • Process and record all incoming donations, revenue, and payments, ensuring accurate reconciliation between CRM and accounting software.
  • Manage accounts payable and receivable, including invoice processing, payment runs, and expense tracking.
  • Reconcile bank accounts, credit card statements, and prepare financial reports as needed.
  • Support annual budget development and audit preparation.
  • Maintain organized and compliant financial records and documentation.
  • Works with Finance Director on ACH payments.
  1. Information Technology & Systems Support
  • Oversee day-to-day IT operations in coordination with external IT vendors (if applicable).
  • Maintain an inventory of hardware, software, and user accounts; manage licensing renewals and access permissions.
  • Support staff with troubleshooting for email, cloud systems (e.g., Microsoft 365), and shared drives.
  • Ensure appropriate data security protocols, backups, and user permissions are in place.
  • Research and recommend technology solutions that improve organizational efficiency and integration across CRM, finance, and communication systems.
  • Provide basic staff training and orientation on CRM, shared systems, and software tools.
  1. Cross-Department Collaboration
  • Serve as the central link between development, finance, and administration, ensuring data flows smoothly across departments.
  • Directs the IT tools (SharePoint, Planner, Outlook) to ensure all staff use tools for project planning.
  • Partner with leadership to design and maintain dashboards and metrics for fundraising, financial health, and operations.
  • Support special projects, events, and system transitions as needed.
  1. Support for Communications

· Under the guidance of the Communications Manager, supports the communication strategy as needed.

· Provide Development team with leads for corporate and HNW individuals

Requirements

Do you have experience in Research?, Do you have a Associate's degree?, * Associate's or Bachelor's degree in business, nonprofit management, accounting, or information technology preferred.

  • 3-5 years of experience in nonprofit operations, finance, CRM/database management, or IT coordination.
  • Proficiency with donor CRMs (e.g. DonorPerfect), accounting software (e.g., QuickBooks Online), and Microsoft 365.
  • Strong technology aptitude, data management, and problem-solving skills.
  • Experience with system integrations and data reconciliation between platforms.
  • Excellent organizational skills and meticulous attention to detail.
  • Strong written and interpersonal communication skills.
