Job description
- List archive assets to sales channels - eBay, Shopify, and others - and own the listing process end-to-end.
- Monitor active listings for accuracy and resolve channel-side issues such as pricing updates, photo quality flags, item revisions, and channel rejections.
- Document the listing process so the workflow stays clear and repeatable as the team grows.
Data Stewardship
Make sure every photo's digital file and physical original never lose each other - keeping the archive trustworthy.
- Set up new campaigns in FileMaker by entering box numbers, SKU ranges, and collection metadata.
- Validate that campaign folders, bins, and assets are connected, named correctly, and ready for publication.
- Cross-check campaign folders in FileMaker against physical box and folder IDs.
- Review uploads to confirm filenames follow established conventions.
- Verify campaign folders sync correctly to AWS S3 and confirm integrity between local SSD storage and cloud backups.
- Label, track, and maintain archival SSDs.
- Keep a running log of missing, duplicated, or corrupted files and flag recurring problems.
- Help troubleshoot and train staff on folder structure, file naming, and upload best practices.
- Handle campaign closure - confirming digital files are archived and physical counterparts are boxed, barcoded, and shelved.
IT Support (Secondary)
Act as the first responder for small, quick-fix IT issues, escalating larger problems.
- Help with password resets, account access, and basic permission troubleshooting.
- Install, update, and fix software; perform basic diagnostics on workstation issues.
- Install, connect, and test scanners, thermal printers, and label makers.
- Basic Wi-Fi and workstation connectivity troubleshooting.
- Help recover files from local backups and guide less technical staff on general computer use.
- Maintain an inventory of equipment and escalate broken items with clear documentation.
Requirements
Do you have experience in Shopify?, * Strong attention to detail and process consistency.
- Self-directed and reliable.
- Clear written communication for ticket handling, documentation, and Slack-based work.
- Comfort with spreadsheets and structured data.
- Comfort working in database-driven systems; willingness to learn FileMaker (training provided).
- Curiosity about how systems work, with willingness to learn AWS, JSON file structures, and basic Python scripting on the job.
- Basic comfort with computer hardware troubleshooting (peripherals, software install, password resets).
- Comfortable using Slack and Notion, or able to learn quickly.
Preferred Qualifications
- Prior experience selling on eBay, Shopify, or other e-commerce channels.
- Background in archival, library, museum, or cultural-heritage technology.
- Prior experience in a role that required cross-team coordination or ticket-based work.
- Coursework, certificate, or self-taught experience with AWS or another cloud platform.
- Active interest in prompt engineering or working with large language models.
- Exposure to relational databases (SQL, Access, FileMaker, or similar).
- Some familiarity with Python or any scripting language.
- Recent graduate from a technical, information systems, or related program.
