Job description
We are looking for a workspace support administrator that will play a key role in supporting our project and finance teams. This role requires multitasking and flexibility with day-to-day responsibilities.
Core Responsibilities and Duties:
· Assisting the Finance team
o Onboarding new vendors
o Reconciling vendor bills with issued POs
o Assisting with sales orders updates
o Accounts Receivable collections/tracking payments
o Tracking vendor/installer credits
o Maintaining Insurance renewals and certificates
o Contracts, Credit Card statements, Expense tracking
· Assisting the Project Team
o Tracking furniture shipments
o Verifying furniture lead times
o Ordering samples
o Reconcile that our ship dates, install dates, and acknowledgements are up to date in our system
o Assist with status report distribution to clients
o CAD Drawings/Renderings/Finish Documents
o Creating/updating presentations for prospective clients
Requirements
Do you have experience in Task prioritization?, · Must be able to multitask and prioritize workload based upon deadlines and importance and take direction from different departments
· Organized and detail oriented with a with a focus on accuracy
· Able to work on their own as well as collaboratively with a team
· Strong written and verbal communication skills
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint etc.)
· Must be able to commute to Stamford office on a regular basis, 3 - 4 years of previous administrative, transactional or finance related experience.
Skills Experience (not required, but a plus)
Using QuickBooks, Salesforce, or CAD/Design programs
Working in Furniture, Construction or Interior Design industries
