The IT Project Manager is responsible for planning, coordinating, and delivering assigned technology projects from initiation through completion. This role focuses on execution, coordination, and day-to-day project management for IT initiatives such as application implementations, system upgrades, infrastructure improvements, integrations, and cybersecurity efforts. The IT Project Manager works closely with technical teams, functional partners, and stakeholders to ensure projects meet defined requirements, timelines, and budgets while aligning with institutional priorities and technology standards.
The IT Project Manager typically leads Tier 2 and Tier 3 projects and may support Tier 1 initiatives under the direction of a Senior Project Manager or PMO leadership.
Tier 1 (Transformative Projects): Supports Senior Project Managers with planning, tracking, reporting, and coordination activities. Tier 2 (Transitional Projects): Serves as the primary project manager, coordinating technical and functional efforts, managing schedules, risks, and communications. Tier 3 (Developmental Projects): Leads smaller, lower-complexity initiatives and ensures alignment with PMO standards. Villanova is a Catholic university sponsored by the Augustinian Order. - Manage assigned IT projects through all phases of the project lifecycle, from initiation and planning through execution, transition, and closeout.
- Develop and maintain project plans, schedules, task assignments, and documentation.
- Coordinate project resources and activities across technical teams and functional stakeholders.
- Monitor scope, schedule, budget, risks, and issues; escalate concerns as appropriate.
- Support requirements gathering and documentation in collaboration with business and technical leads.
- Assists in documenting current-state workflows and identifying process impacts related to technology changes.
- Ensure projects adhere to PMO standards, governance, and technology policies.
- Utilize Smartsheet and other PMO tools to maintain accurate project plans and reporting.
- Ensure proper project closeout, documentation, and lessons learned.
Use approved AI-enabled tools to support project documentation, meeting summaries, action tracking, schedule updates, and status reporting in alignment with University guidelines.
Stakeholder Coordination and Communication
- Serve as a primary point of contact for assigned projects.
- Facilitate regular project meetings, status updates, and communications.
- Manage stakeholder expectations through clear, consistent, and transparent communication.
- Partner with functional and technical leads to support business readiness, training, and transition activities.
- Supports organizational change efforts under the guidance of senior project managers or project sponsors.
Cross-Functional Collaboration
- Work collaboratively with UTS teams, campus partners, and vendors to coordinate project activities.
- Support intake, prioritization, and planning activities within the PMO.
- Coordinate dependencies across projects and teams, escalating conflicts when necessary.
PMO Support and Continuous Improvement

Participate in PMO meetings, initiatives, and process improvement efforts.

Contribute to the refinement of PMO templates, standards, and best practices.

Support knowledge sharing and collaboration across the PMO.

Maintain accurate project documentation and reporting artifacts.

Perform other duties and assist with projects as assigned.
Requirements
Formal Education
- Bachelor's degree required; equivalent combination of education, certification, and experience may be considered.
- Project management certification (e.g., PMP, CAPM) preferred.
Work Experience
- Minimum 3-5 years of experience managing IT or technology-related projects.
- Experience coordinating projects involving multiple teams or systems.
Work Skills (e.g., written and verbal communication skills)
- Strong organizational, time management, and problem-solving skills.
- Ability to work effectively with both technical and non-technical stakeholders.
- Clear written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Working knowledge of project management tools and methodologies.
Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)
- Experience developing project plans, schedules, and status reports.
- Familiarity with IT environments, systems, and implementation lifecycles.
- Proficiency with MS Office 365 and Smartsheet.
- Awareness of higher education technology considerations (e.g., FERPA, accessibility, cybersecurity) preferred.

The University Technology Services (UTS) Project Management Office (PMO) provides project management services to a portfolio of technology initiatives that support academic, administrative, and operational functions across the University. The final salary will be determined with consideration of several factors including the selected candidate's qualifications, department budget availability, market data, and internal equity.
