Job description
This position serves as the central point of contact for all facility service requests, administrative coordination, and production control activities. This position operates the Customer Service Desk (CSD), ensuring timely intake, tracking, coordination, and resolution of work orders, maintenance requests, and administrative support functions within a federal facility environment., Customer Service Desk & Communication Management
- Serve as the primary point of contact for all service requests and facility communications
- Monitor and respond to phone calls, emails, alerts, CMMS notifications, and service requests
- Log, track, and follow up on work orders and service tickets
- Coordinate emergency and after-hours communication procedures with Government and FPS MegaCenter
- Maintain accurate records of all incoming and outgoing service requests
Production Control & Work Order Management
- Track preventive maintenance, work orders, and project status using Government CMMS (e.g., NCMMS)
- Ensure accuracy, completeness, and timeliness of all data entries
- Generate operational and performance reports as required
- Coordinate workflow between technicians, tenants, and Contracting Officer's Representative (COR)
Administrative & Clerical Support
- Provide front desk support, including greeting visitors and managing inquiries
- Answer, screen, and route telephone calls
- Prepare correspondence, reports, presentations, and administrative documents
- Maintain calendars, schedules, and filing systems
- Support copying, scanning, faxing, shredding, and document processing
- Assist with IT service requests, escorting contractors, and general office support functions
Conference Room & Facilities Support
- Manage conference room scheduling, setup, and restoration after use
- Issue, track, and recover access keys and maintain inventory logs
- Configure meeting spaces, including furniture and audiovisual equipment setup
- Ensure rooms are clean, functional, and properly equipped
- Report maintenance issues and coordinate resolution with COR
Inventory, Supplies & Asset Tracking
- Maintain and track non-consumable inventory (e.g., keys, AV equipment, cables, supplies)
- Monitor usage, condition, warranties, and availability of equipment
- Maintain supply storage areas and support ordering of office supplies
- Ensure equipment readiness for Government use
Mailroom, Records & Data Management
- Receive, sort, and distribute incoming and outgoing mail and packages
- Track accountable mail and coordinate with carriers (USPS, FedEx, UPS)
- Maintain records management systems and filing structures
- Support data entry, database maintenance, and suspense tracking systems
Additional Operational Support
- Support onboarding and offboarding administrative processes
- Assist with facility access control and badge-related administrative support
- Track vehicle usage, reservations, mileage, and maintenance coordination
- Provide basic audiovisual (AV) support, troubleshooting, and maintenance coordination
- Assist in tracking deadlines, deliverables, and administrative follow-ups
Requirements
Do you have experience in Data entry?, Do you have a High school diploma or GED?, The role requires strong multitasking ability, customer service skills, and proficiency in tracking systems, communication tools, and facility support operations., * High school diploma or equivalent required (Associate degree preferred)
- Prior experience in administrative support, customer service desk, or facility operations preferred
- Familiarity with CMMS systems (NCMMS or similar) highly desirable
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong communication and customer service abilities
- Ability to work in a fast-paced, mission-critical environment
Physical Requirements
This position requires regular physical activity in a facility environment:
- Ability to sit, stand, and walk for extended periods
- Frequent use of hands for typing, data entry, and equipment operation
- Ability to lift, carry, push, or pull up to 25-50 lbs
- Ability to move furniture and set up conference rooms and equipment
- Ability to bend, stoop, kneel, and reach as required for setup and maintenance tasks
- Ability to safely handle office supplies, AV equipment, and materials
- Visual and auditory ability to communicate effectively in person and by phone, * Government CMMS (e.g., NCMMS) : 1 year (Preferred)
