The IT Operations Manager is responsible for managing day-to-day IT operations and coordinating compliance-related technology activities to support AHP's regulatory, security, and operational requirements.
The position serves as the primary operational point of coordination, managing IT vendors, security initiatives, and compliance workflows, ensuring work is sequenced appropriately, risks are surfaced early, and provides clear visibility to leadership on progress, constraints, and emerging issues.
Primary Duties:
IT Operations Management
- Manage day-to-day IT operational activities to support reliable system performance and staff productivity.
- Coordinate issue resolution across internal teams and external IT vendors.
- Monitor operational workload and surface capacity constraints or competing priorities to leadership.
- Support continuity of IT services during periods of change, remediation, or vendor transitions.
- Manage IT asset inventory, including issuing and return of IT equipment to staff.
- Primary Admin for org-wide applications that are not managed by third parties, including user provisioning and deprovisioning.
Vendor Coordination & Performance Tracking
- Serve as the primary operational liaison with managed service providers and IT vendors.
- Monitor ticket response times, project progress, and deliverables.
- Escalate unresolved issues, delays, or performance concerns through established internal channels.
- Coordinate vendor-led work while ensuring leadership visibility into risks and dependencies
Compliance Coordination
- Support IT-related compliance activities under the direction of leadership, including audits, security reviews, and assessments.
- Track compliance-related tasks, timelines, deliverables, and remediation activities.
- Coordinate preparation of documentation, evidence, and system information required for audits or assessments.
- Regularly review and update IT policies, procedures, and documentation in alignment with leadership guidance.
Project & Remediation Coordination
- Coordinate IT projects, remediation efforts, and security initiatives to align with organizational priorities and available capacity.
- Maintain project plans, sequencing, and dependencies for compliance-related work.
- Flag conflicts between compliance timelines and operational capacity for leadership decision-making.
Documentation & Reporting
- Create and maintain accurate and up-to-date IT documentation, including system inventories, workflows, forms, policies, and procedures.
- Provide regular status updates to leadership on operational health, compliance activities, vendor performance, and risks.
- Support leadership in preparing summaries for audits, funders, or governance discussions as requested.
Training & Internal Support
- Coordinate IT onboarding and offboarding processes, including device setup, access management, and policy acknowledgement.
- Provide guidance and training to staff on IT systems, security practices, and compliance-related procedures, including follow-up and remediation.
- Serve as an escalation point for complex or recurring IT issues impacting compliance or operations.
- Build and maintain SharePoint sites with MSP support for overall architecture.
Requirements
Do you have a valid Driver's License license?, Do you have experience in Vendor relationship management?, Do you have a Associate's degree?, * Associate's degree in Information Technology, Computer Science, Healthcare Informatics, or related field OR equivalent hands-on experience managing IT operations in a healthcare or regulated environment.
- 3+ years of experience managing IT workflows and vendors, including Managed Service Providers.
- Ability to manage multiple priorities and projects simultaneously.
- Comfortable working independently.
- Highly proficient with MS 365 tools, services, and applications, including Outlook, Teams, SharePoint, OneDrive, Forms, and Lists.
- Familiarity with HIPAA and IT security regulatory requirements and supporting compliance activities
- Strong written and verbal communication skills; ability to train end users and explain technical concepts clearly.
- Strong organizational and problem-solving skills
- Experience in a healthcare, nonprofit, or highly regulated environment preferred
- Possess a valid driver's license, proof of insurance, and be able to travel between sites as needed., * Must be able to sit, stand, and walk for extended periods during the workday.
- Must have sufficient speech, visual, and hearing abilities to communicate effectively with staff, vendors, and customers.
- Must be comfortable performing physical tasks associated with installing, relocating, or troubleshooting IT equipment, including but not limited to:
- Must be able to lift, carry, or move equipment and materials up to 40 pounds.
- Maneuvering equipment in tight spaces and managing cable routing under desks and in network closets.
- Reaching overhead and using ladders to place or retrieve equipment from shelves or storage areas.
