Job description
The IT & Systems Officer is the central point of accountability for all technology and business systems at TFS. You will keep our 25-person team running smoothly day-to-day, and act as the in-house owner of our ecommerce, ERP and integration stack - including a substantial body of custom FileMaker (Claris) work that underpins our operations, inventory and management reporting.
Beyond keeping the lights on, we are specifically looking for someone with the ambition and curiosity to drive efficiencies across our digital processes and data flow. You will inherit a working but improvable estate, and we want you to take it personally - to look at how data moves between Shopify, FileMaker, Xero and our partners, and to find better, faster, more automated ways to do it., Internal IT & end-user support
- First point of contact for all internal IT issues across HQ, production and remote workers
- Manage Google Workspace, user accounts, hardware procurement, mobile devices, printing, network and Wi-Fi
- Maintain the laptop/desktop estate, including builds, patching and replacements
- Manage on-site network, including switches, firewall, VPN and connectivity for production and cold-storage environments
Business systems, ecommerce & FileMaker
- Own and maintain our FileMaker (Claris) platform, which holds significant custom-built logic across operations, stock and management reporting
- Take handover of existing FileMaker scripts, layouts and integrations, and progressively document what's there
- Day-to-day administration of our Shopify store: app management, theme updates, product/catalogue support
- Support the integration stack between Shopify, FileMaker, Sage, Klaviyo and our retailer EDI feeds
- Triage and resolve operational issues (order sync, stock feeds, customer data) and liaise with external developers and SaaS vendors when required
- Own the SaaS contract register: renewals, licence allocation and cost control
Process & data-flow improvement
- Map how data currently flows between our systems and identify where manual work, duplication or fragility exists
- Propose and deliver improvements - automations, integrations, better scripts, cleaner data structures - that reduce manual effort and improve data quality
- Work with department leads (operations, commercial, finance) to understand pain points and translate them into technical solutions
- Build and maintain reporting and alerting that gives the business better visibility (e.g. stock alerting, sales reporting, exception flags)
Data, security & compliance
- Ensure data backups, security policies, MFA and access controls are in place and audited
- Support GDPR compliance, data subject requests and customer-data hygiene
- Maintain an asset register and IT documentation suitable for due diligence
Requirements
Do you have experience in VPN?, * Degree in Computer Science, Software Engineering, Information Systems or a closely related discipline (2:1 or above preferred)
- 2-4 years of professional experience in an IT, systems or ecommerce-tech role
- Genuine coding comfort - you can read, debug and extend someone else's code independently. This is not a configuration-only role; you'll be writing scripts, querying databases and working with APIs regularly.
- Hands-on experience with at least one of: FileMaker / Claris, SQL, Python, JavaScript, or a comparable scripting/low-code environment
- A demonstrable improvement mindset - examples in your past work of identifying inefficient processes and building something better, not just keeping systems running
- Strong working knowledge of Google Workspace (or Microsoft 365) administration
- Hands-on experience with at least one ecommerce platform (Shopify strongly preferred)
- Comfortable with APIs and integration concepts (webhooks, REST, scheduled syncs)
- Methodical troubleshooter, patient with non-technical colleagues
- Takes documentation seriously - you'll inherit a system that needs it
Desirable
- Direct FileMaker / Claris experience
- Shopify admin experience (apps, Liquid, basic theme work)
- Exposure to ERP systems (Sage, NetSuite, Microsoft Dynamics)
- SQL or relational-database fundamentals
- Experience with Klaviyo, GA4 or Meta Business Manager
- Familiarity with EDI feeds or retailer onboarding for grocery multiples
- Claris-certified developer, Cyber Essentials, ITIL Foundation
- Interest in food, sustainability or DTC consumer brands
