Job description

We are seeking a driven and confident Systems Coordinator to provide comprehensive administrative support, ensuring smooth operations for both customer and engineer requirements. This includes managing customer communications, maintaining accurate records, scheduling and organising installations and maintenance, and handling invoicing and monitoring-related tasks, as well as supporting credit control and compliance with NSI standards., * Answer inbound call quires

  • Answer and respond to all emails.
  • Liaise with finance regarding customer finance queries
  • Support Compliance department in management of Key NSI KPI's
  • Book appointments for Preventive Maintenance and Corrective Maintenance using CASH system
  • Liaise with Engineering Manager to book installations and relevant other departments to ensure smooth process.
  • Create, update, and finalise customer files on the CASH system, including zone lists, contracts, and certificates.
  • Assist with NSI certification, ensuring deadlines are met, and all paperwork is properly completed.
  • Manage monitoring station details, including EMCS orders, keyholder info, and police response documentation ensuring information is up to date and accurate
  • Send reminders and book maintenance for domestic and commercial properties, planning efficient routes.
  • Log all faults reported by customers, reset alarms over the phone if possible, and escalate issues to engineers.
  • Coordinate with engineers to ensure they have the required paperwork, tools, and instructions for jobs
  • Issuing of NSI Certificates to clients

Requirements

Do you have experience in Microsoft Word?, * Previous experience in an administrative or office support role

  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organisational and time-management skills
  • Ability to work independently and as part of a team
  • Accuracy and attention to detail in all work
  • Experience using office systems or CRM tools is desirable but not essential

Desirable:

  • GCSEs (or equivalent) in English and Maths required.
  • NVQ Level 2 or 3 in Business Administration (desirable).
  • Further training or qualifications in administration or office management are a plus.
