Job description

Under limited supervision and with considerable latitude for the use of initiative and independent judgment, coordinates and directly supports the business process functions of a Business Center, which provides various financial, analytical, and business process transactional services to faculty and staff within area of assigned responsibility.

Statement of Duties and Responsibilities:

Financial administration and management of all new faculty start-up accounts including the multiple funding sources.

Ensure new faculty start-up accounts adhere to their respective spending timelines.

Prepares, analyzes and creates statistical, financial, and various other reports.

Provide guidance to faculty, department administrators regarding startup compliance and budget management.

Monitor budgets to ensure expenditures are allowable, allocable and reasonable in accordance with University guidelines.

Prepare, reconcile and resolve reconciliation discrepancies on a monthly basis.

Prepare and provide monthly financial reports and updates to new faculty startup accounts.

Proactively engages customers through reporting and personal responses; obtains, researches and evaluates all relevant information to handle inquiries and complaints.

Prepares, analyzes and creates statistical, financial, and various other reports.

Serves as liaison between the various University departments to including the Payroll Office, Disbursements, Travel, Purchasing, Budget, HR, Research & Innovation and College of Science department faculty and staff.

Process transactions using the University's enterprise multiple application suites such as PeopleSoft and Miner Mall.

Transactions include but are not limited to appointments, purchase requisitions, reimbursements, travel authorizations, vendor payments and employee appointments.

Monitor grant budgets to ensure expenditures are allowable, allocable, and reasonable in accordance with sponsor guidelines.

Assist with grant closeouts, including final financial reporting and reconciliation.

Process requests using the University's other internal platforms including the Student Notice of Award (SNOA), Payment Works, Authorization for Professional Services (APS), Staff Employment Action Request (SEAR), and Appointment Databases.

Assist and guides faculty with the Colleges internal J-1 Exchange Visitor visa process.

Interacts with internal or external customers; interacts with clients by telephone, electronically or face to face to identify and support their transactional needs/requirements.

Maintains a high degree of confidentiality and ensures safety of all confidential and sensitive information this position is privy to.

Implements and adheres to established goals, policies, and priorities for the Business Center.

Assists with special projects as needed.

Intermediate knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies and procedures.

Other duties as assigned.

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws., * To recruit, inspire, and develop a new generation of scientists and mathematicians, dedicated to the highest principles of Science, and educated in the environmental, health and economic challenges of the border region.

  • To lead by example, promoting effective and self-sustaining research programs, encouraging student participation, and providing a national forum for addressing the special problems of our region.
  • To work to educate all university students and the community at large, increasing the level of awareness of scientific issues, and providing a knowledge resource to citizens and government alike.

Required Qualifications:

Education: Bachelor's degree

and

Experience: One year of related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.

Preferred Qualifications: Bachelors in accounting, finance. Three years of related experience to the statement of duties and responsibilities; or equivalent combination of education and experience., Note: To the extent that this position involves research, work, or access to critical infrastructure as referenced in Executive Order GA-48, being hired for and continuing to be employed in this position requires the ability to maintain the security or integrity of the infrastructure.

Weekends as needed, Evenings as needed, Evening shift, Monday to Friday, Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends
