Job description

Membership Customer Management

  • Manage membership customers across residential, commercial, and property management accounts.
  • Process start service and stop service requests accurately and efficiently.
  • Schedule and book recurring service jobs for membership customers.
  • Maintain accurate customer account information, service details, billing details, and route assignments.
  • Update customer billing when service levels, pricing, routes, or account details change.
  • Prorate customer billing when customers start, stop, or adjust service in the middle of a billing cycle.
  • Support account changes, membership updates, service pauses, cancellations, and customer questions.

Routing & Dispatching Management

  • Help manage routing for approximately 5,000 membership customers across more than 120 service technicians.
  • Build, adjust, and maintain weekly recurring service routes.
  • Work closely with the Cleaning Department to keep service routes efficient, balanced, and accurate.
  • Coordinate route changes when customers are added, removed, paused, or reassigned.
  • Identify route inefficiencies and recommend improvements to improve technician productivity and customer experience.
  • Support dispatching needs related to recurring membership service and customer scheduling issues.
  • Maintain strong communication with managers, dispatchers, office staff, and field technicians.

Billing, Invoicing & Membership Reporting

  • Assist with monthly recurring membership invoicing.
  • Review customer membership billing for accuracy before and after invoice creation.
  • Update pricing, billing information, and prorated charges as needed.
  • Help resolve billing questions and account discrepancies.
  • Assist leadership with corporate reporting and membership reporting.
  • Use Excel to organize, analyze, and report on customer data, route data, billing data, and membership performance.
  • Help create better visibility around membership growth, customer retention, billing accuracy, recurring revenue, and route capacity.

Customer Service & Internal Support

  • Handle routine customer phone calls and customer service requests when necessary.
  • Assist customers with questions related to service schedules, billing, account updates, and recurring service details.
  • Communicate professionally with customers and internal departments.
  • Support office operations during busy periods or when additional customer service coverage is needed.
  • Help create a professional, organized, and solutions-focused experience for customers and team members.

Requirements

Do you have experience in Written communication?, Do you have a Bachelor's degree?, Clear Tech Pools is seeking a highly organized, professional, and detail-oriented Membership Operations & Routing Manager to support, manage, and report upon, key internal operations across our residential, commercial, and property management membership customer base.

This person will be responsible for managing recurring service memberships, start and stop service requests, weekly routing, recurring job scheduling, monthly invoicing, customer billing updates, membership reporting, and routine customer service support when needed. This person will also be responsible for spearheading systematic updates into our operations. The ideal candidate will have a strong understanding of dispatching, membership services, billing, invoicing, Excel, and computer-based business systems.

This is an important internal management role for someone who can take ownership, stay organized under pressure, support multiple departments, and help Clear Tech Pools continue to grow through better systems, stronger reporting, and improved operational execution., * Strong understanding of dispatching, recurring service operations, membership services, billing, or invoicing.

  • Excellent Excel and computer skills.
  • Strong organizational skills with the ability to manage a large volume of customer data and operational details.
  • High attention to detail and strong follow-through.
  • Ability to manage multiple priorities in a fast-paced office environment.
  • Professional communication skills with customers, technicians, managers, and leadership.
  • Comfortable handling customer phone calls and resolving routine service or billing questions.
  • Ability to work closely with multiple departments and maintain accountability across moving parts.
  • Reliable, professional, and growth-minded.

Preferred Experience

  • ServiceTitan experience is preferred.
  • Experience in pool service, home service, field service, dispatching, or route-based operations is a plus.
  • Experience managing recurring service accounts or membership customers is a plus.
  • Experience with billing, invoicing, account updates, or customer data management is a plus.
  • Advanced Excel, reporting, or data analysis experience is strongly preferred.
