Job description
Due to internal changes Munro Medical Centre are looking to recruit an additional member to join our data department.
We currently have a full time ( 38 hours) vacancy in our Data Department covering a variety of administrative tasks. Monday - Friday working over 4 days with a Wednesday as a non working day. (option to spread hours over 5 days if preferred)
This post involves a variety of administration tasks, however, a significant proportion of the role (once competent/trained) involves identifying relevent clinical information documented in patient correspondence and coding into patient medical records.
Candidates must be able to work in both a team and independently, have sound IT knowledge, previous experience of Systmone would be beneficial, but training will be given. Applicants must able to work quickly and accurately and pay attention to detail, the ability to use initiative is essential. Excellent communication skills are required.
Previous experience in a similar role would be an advantage, however, training will be provided.
There may be a requirement to work an occasional weekend/early evenings.
Duties of the role -
- Manage waiting lists, invite and book patients for specific clinics.
- Take active part in campaigns during the year ie Flu & covid.
- Scan patient related documents onto their medical record using read codes as agreed by the clinical team
- Add any additional information about the source of the document
- Forward the document to the relevant department
- Ensure incoming letters are scanned onto the patient record within a 48/72 hour timescale
- Scan all internal paper documents on to the relevant patient's record and then store the documents in line with surgery procedures.
- Identify relevant clinical information contained in patient correspondence
- Code the clinical information on to the patient record
- Deal with queries relating to coding
- Summarise new patient records in line with the practice protocol, identifying relevant clinical information, code and record in patient record.
- Set appropriate recalls on patient record
- Deal with queries relating to summarising
- Raise invoices for medical/Insurance reports
- Administer and prepare medical/Insurance/Occupational Health reports
- File patient records
- Process copy record requests and undertake any photocopying
- Check and process cytology invitations
- Record mammograms onto patient record
- Return any patient hospital letters back to sender if patient has left practice.
- Process new patient registrations, ensuring correct details are recorded.
- Record optimisation of patient records before a referral is processed.
- Process GP to GP transfer tasks ensuring correct information is added to patient record.
- Process degraded data tasks ensuring correct codes are recorded on patient record.
Requirements
Do you have experience in Organizational skills?, * Proficient in Microsoft Office
- Strong data entry skills and clerical experience
- Excellent computer skills
- Demonstrated administrative experience and organizational skills
- Familiarity with IT systems and communication skills
- Prior experience with phone etiquette and office operations
