Job description

We are seeking a strategic operations leader who can set direction, align teams, and make smart decisions about how technology, data, and systems serve our mission. This role is not primarily a technical builder, it is a senior leader who brings clarity, judgment, and accountability to how our organization operates and grows.

The right candidate leads with strategy and judgment, not just technical skill. As a lean nonprofit, we expect this person to be a doer as well as a director - someone who can roll up their sleeves when needed, but who approaches every task with an eye toward building something more sustainable than themselves. The VP Technology/Operations will report directly to the CEO and serve as a key member of the senior leadership team.

Core Responsibilities

  1. Technology & Systems Leadership (Primary Focus)
  • Own enterprise-wide technology strategy and execution.
  • Set strategic direction for our technology stack (CRM, project management, marketing systems, finance systems, AI tools); oversee implementation through vendors and staff.
  • Lead CRM strategy, governance, and data integrity.
  • Identify and deploy AI-enabled workflows that reduce manual effort and increase organizational capacity.
  • Evaluate/manage external vendors (IT, CRM consultants, AI partners, etc.).
  • Ensure strong cybersecurity, data privacy, and operational continuity.
  • Build scalable systems aligned with growth goals.
  • Translate complex tech concepts into clear decisions for non-technical leaders.
  1. Operational Infrastructure
  • Oversee outsourced accounting services and partner with fractional CFO including annual budget planning, audit and 990 preparation processes.
  • Supervise in-house accounting staff (payroll and AP/AR execution) and database and technology manager.
  • Own operational dashboards and KPI tracking.
  • Ensure strong financial data visibility (not as CFO, but as operational steward).
  • Manage contract relationships for facility management and essential services.
  • Maintain human resources and administration records including compensation and evaluations. Ensure that recruiting processes are consistent and streamlined.
  • Oversee contracts for benefits administration, insurance and compliance with legal regulations regarding federal and state human resource policy.
  1. Organizational Systems Thinking
  • Design, standardize, and scale core business processes, optimizing internal project management system.
  • Create systems that foster cross-functional clarity between departments.
  • Partner with business development, marketing, and program leadership to optimize the full customer lifecycle.
  • Implement goal management systems (OKRs preferred; EOS familiarity a plus).
  • Improve internal workflows and eliminate inefficiencies.
  • Build decision-making frameworks that increase speed and accountability.

  • Clean, reliable CRM with clear ownership and reporting integrity.
  • AI-enabled workflows reducing administrative load by 15-30%.
  • Technology vendors managed with clear deliverables and ROI.
  • Real-time executive dashboards supporting strategic decisions.
  • Streamlined systems supporting revenue growth.
  • Improved operational clarity across departments.

Requirements

Do you have experience in Vendor relationship management?, Do you have a Bachelor's degree?, * 8-12+ years in operations, systems strategy, or technology-enabled business leadership.

  • Demonstrated experience optimizing CRM systems (Salesforce experience strongly preferred).
  • Experience implementing automation and AI-driven workflows.
  • Strong vendor management and contract negotiation skills.
  • Financial literacy (comfortable reading financial statements and managing outsourced accounting).
  • Experience implementing OKRs or EOS-style goal systems preferred.
  • Excellent communicator who can translate technical language into executive decision-making.
  • Strategic thinker with strong execution discipline.
