Job description

Lease and Billing Data Management

Interrogate lease agreements, schedules, and supporting documentation to extract accurate commercial, financial, and key date information.

Review, validate, and reconcile billing data against lease terms, ensuring accuracy and completeness.

IWMS Data Input and Maintenance

Input, upload, and maintain lease, asset, and billing data within the Integrated Workplace Management System (IWMS).

Ensure data is structured correctly to support reporting, compliance, and financial controls.

Stakeholder Liaison and Coordination

Liaise with internal billing, finance, and asset-owning departments to clearly understand what assets are currently invoiced, billing frequencies, and key billing dates.

Act as a key point of contact for communicating data requirements, clarifying discrepancies, and resolving inconsistencies.

Effectively communicate the transition of data and processes into the IWMS, supporting stakeholders through change.

Data Analysis and Validation

Analyse data from multiple sources (e.g. lease documents, spreadsheets, finance systems, legacy databases) to identify gaps, anomalies, and risks.

Compare and cross-reference datasets to ensure alignment between physical assets, leases, and billing arrangements.

Produce clear summaries and insights to support decision-making and system confidence.

Systems and Process Integration

Work across multiple systems and data formats to consolidate information into the IWMS.

Support the standardisation of data, naming conventions, and processes to improve consistency and reporting.

Contribute to the development and refinement of IWMS data governance and operational procedures.

Communication and Documentation

Document assumptions, data sources, and methodologies used during lease and billing interrogation.

Provide clear guidance and explanations to non-technical stakeholders regarding data outcomes and system use.

Support training or knowledge transfer activities as required.

Continuous Improvement

Identify opportunities to improve data collection, validation, and reporting processes.

Support ongoing optimisation of the IWMS to enhance accuracy, efficiency, and usability.
