Job description

This position serves as the administrative assistant to the Director of Technology and other department staff, and provides various support services for, 1. Maintain confidentiality of all confidential material.

  1. Prepares and writes routine correspondence, and reports and takes minutes at assigned

meetings.

  1. Receive and place phone calls as needed.

  2. Maintain a filing system and process incoming correspondence as instructed.

  3. Maintain the Technology inventory system, and provide reports when requested.

  4. Maintain records of all student/staff loaners and repairs and communicate with parents

when needed regarding loaners, repairs, and billing.

  1. Prepare, send, and collect technology bills to parents when needed

  2. Help with setting up new student and staff email accounts and communicating with the

HR Department when new students/staff enter the district. Also, help with collecting

devices and disabling email when students/staff leave the district.

  1. Prepares purchase orders if requested; determine necessary office supplies;

communicates with staff members concerning supplies needed.

  1. Works with Accounts Payable, Inventory Clerk Specialist, and other personnel to verify

the accuracy of purchase order and invoice/packing slip

  1. Works with Accounts Payable, and other personnel to verify the accuracy of purchase

order and invoice/packing slip information; equipment inventory and work order

records; and distribution of merchandise and equipment within the district.

  1. Prepares and maintains accurate records of software licensing for the district.

  2. Maintain general information and knowledge of school district operations.

  3. Skilled in Microsoft Office (focus on Excel)

  4. Skilled in Google Apps (Sheets and Docs)

  5. Confident in managing web groups

  6. Data entry

  7. Ensures own regular and prompt attendance

  8. Assists with the distribution of loaner devices and minor troubleshooting where needed

  9. Website Updates and Management: (Training can be provided if needed).

  10. Data Management and Syncing: Assisting the Data Management Specialist with data

management tasks.

  1. Other duties as assigned

Requirements

Do you have experience in Typing?, Do you have a High school diploma or GED?, Characteristics Desired: The ability to multitask and be flexible to the needs of the Technology

Department. The ability to work independently and in a team setting. Must be able to be

successful in a fast-paced work environment. Excellent communication skills with strong

organizational abilities are a priority., To perform this job successfully, an individual must be able to

Education and/or Experience:

High School Graduate with secretarial experience.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance

instructions, and procedure manuals. Ability to write routine reports and correspondence.

Ability to speak effectively before groups of employees at organization.

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages,

area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations

where only limited standardization exists. Ability to interpret a variety of instructions furnished

in written, oral, diagram, or schedule form.

Other Skills and Abilities:

Must have strong communication, computer and interpersonal skills. Must have ability to learn

and utilize new software programs as systems are upgraded. Typing with good grammatical

spelling and punctuation.

Ability to establish and maintain effective working relationships with students, staff and the

school community. Ability to speak clearly and concisely both in oral and written
