Job description

Hours: 37.5 hours per week - the team provides cover from 8.00am - 8.00pm Monday - Friday. This role includes participation in a shift rota, so flexibility is essential, Are you an organised and proactive administrator who enjoys working in a busy environment where no two days are the same?

We are looking for a motivated and dependable Administrator to join Royal Devon's Estates and Facilities Management (EFM) Directorate. This is a varied and rewarding role where you will provide high-quality administrative and helpdesk support, helping to ensure essential estates and facilities services run smoothly across the Trust.

Your work will directly support frontline services by ensuring requests are handled efficiently, systems are kept up to date, and managers are well supported in their day-to-day operations

As part of the EFM Admin team, you will;

  • Act as a first point of contact for estates and facilities queries via the helpdesk
  • Log, allocate and track maintenance and service requests accurately using internal systems
  • Provide administrative support across key service areas including: Car parking queries, ID Cards, Access Control, Estates queries, Lockers, EFM Staff Bank, Room bookings
  • Respond to telephone, email and face-to-face enquiries in a professional and timely manner
  • Maintain accurate electronic and paper records in line with Trust procedures
  • Support Service Managers and Department Managers with routine reports, documentation and correspondence
  • Ensure established processes and procedures are followed consistently and accurately
  • The EFM Admin team supports services across multiple sites, including the Centre for Women's Health reception desk, Estates offices and the Sowton warehouse. You may be required to work at any Trust location depending on service needs.

This is an excellent opportunity to join a supportive and collaborative team at the heart of Estates and Facilities Management. You will play a key role in supporting vital services that enable the Trust to operate effectively every day.

Requirements

Do you have experience in Payroll?, If you are organised, approachable and ready to contribute to a fast-paced and essential service, we would love to hear from you.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You'll learn the following whilst working at the trust:

  1. An in depth understanding of the roles and responsibilities involved in working within the NHS

  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You'll have the following skills/experience:

  • Has proven experience of working in a busy office or customer-focused environment
  • Has experience in an administrative or helpdesk role
  • Is confident using IT systems, including Microsoft Office
  • Demonstrates accuracy and attention to detail
  • Can prioritise tasks and manage competing demands
  • Communicates clearly and professionally
  • Works well both independently and as part of a team
