Job Summary: The Data and Student Information Systems Specialist plays a pivotal role in the effective collection, analysis, and utilization of data to support the district's operations and educational goals. This position is primarily responsible for managing and maintaining the operations of the district's Student Information System (Skyward) and coordinating local, state (IDOE), and federal reporting. The specialist will ensure data integrity, provide technical leadership, and offer training to staff to ensure the proper use of district information systems.
Essential Functions and Responsibilities
Skyward (SIS) Management & Support
- Serve as the primary point of contact and technical support for day-to-day Skyward operations, troubleshooting, and problem resolution.
- Manage and maintain the district's Skyward data, ensuring clean, accurate data entry for student and staff records.
- Coordinate, implement, and troubleshoot Skyward modules including Registration/Fees, Gradebook, Transcripts, Calendars, and Scheduling.
- Establish, audit, and administer SIS access control, security levels, and user permissions to maintain data integrity and comply with FERPA, HIPAA, and other privacy regulations.
- Coordinate the successful migration, updates, and rollovers of the district SIS, working alongside the IT Department.
- Maintain accurate documentation regarding Skyward functions, operating procedures, and the dissemination of system updates to end-users.
IDOE & Federal State Reporting
- Prepare and submit required compliance reports to state (IDOE) and federal agencies in a timely and accurate manner.
- Consistently audit and correct data transference processes to maintain reliable reporting through automated programs such as Ed-Fi and Data Exchange.
- Develop quality assurance guidelines for state reporting mechanisms to ensure high data accuracy.
- Complete necessary federal reporting for all schools, including the Civil Rights Data Collection (CRDC), School Report Card, and English Language Learner (ELL) data.
- Stay informed about changes in state data reporting requirements and update district practices and programs to accommodate those changes.
Collaboration & Professional Development
- Provide training, technical leadership, and professional development to staff, administrators, and secretaries to ensure proper usage of Skyward and compliance with data procedures.
- Work closely with school administrators and stakeholders to understand their data needs, creating custom spreadsheets and data mining reports to disaggregate student information.
- Respond to inquiries from internal and external users in a timely, courteous, and empathetic manner, assisting with problem-solving for events related to student information.
- Collaborate with various departments to integrate data from diverse software vendors and external systems.
Requirements
Do you have experience in Spreadsheets?, Do you have a Associate's degree?, * Bachelor's degree in education, Data Science, Information Systems, or a related field, OR an equivalent combination of education (e.g., Associate's degree) and directly related work experience in data management.
- Prior successful work experience utilizing and managing Skyward Student Information System is highly desirable.
- Proven experience in data management, analysis, and reporting within an educational setting.
- Considerable knowledge of state and federal education data requirements, data management policies, and privacy regulations., * Highly proficient with data management tools, specifically Microsoft Excel and the Google Suite.
- Superior troubleshooting, analytical, and task analysis skills.
- Keen attention to detail with a high level of accuracy and the ability to maintain data integrity.
- Strong verbal and written communication skills, with the ability to effectively communicate technical concepts to non-technical staff and create clear, detailed directions.
- Ability to work independently with minimal supervision in a fast-paced environment, evaluating priorities to meet complex, conflicting deadlines.
- A strong customer service orientation and the ability to maintain confidentiality regarding all student, staff, and district data.
