Job description

The EHR Specialist position is essential to ensuring the seamless functionality, accuracy, and accessibility of Pawnee Mental Health Services' electronic health record (EHR) systems. This role supports the organization's mission by managing, updating, and improving the Credible EHR system and affiliated processes, responding to EHR-related issues, maintaining system integrity, and providing timely support to staff and leadership. Through collaboration with IT, leadership, and external vendors, the EHR Specialist drives operational efficiency, data security, and continuous improvement while maintaining robust training resources and completing required certifications to stay effective in a dynamic technological environment., * Respond to requests for Employee Health Record System (HER) support. Investigate problems and determine solutions. Refer complex problems to supervising data analyst.

  • Monitor credible and other assigned systems emails and inboxes for inquiries and information
  • Work within Credible EHR System to update, implement, and maintain the following processes and other affiliated processes

a. Form Edits with guidance from Credible Admin Committee

i. Create Forms

ii. Update Forms

iii. Improve Forms

b. Assist with data mapping and collection

i. Prepare reports of common data for organizational leadership and staff

c. Perform client profile changes as directed by executive leadership

d. Maintain database and director pathways

i. Perform directories edits

ii. Create new directories

iii. Prepare recommendations for improvements to directories and databases

e. Perform position relevant system modifications and additions as directed by supervisor and clinical leadership

f. Assist staff with missing and incomplete notes inquiries and assist with correcting the issues

g. Run Appointment History and Incomplete Notes reports as needed (minimum weekly)

h. Assign all tickets to credible for new hires that need appointment reminders for clients and terminations the same to have reminders removed

i. Perform all other EHR duties as assigned

  • Assist in the implementation of EHR software updates.
  • Run weekly Credible Admin Team Meetings

a. Handle action items identified in the meetings

  • Create knowledge articles and other trainings materials for staff on common processes in the EHR system

a. Regularly monitor suggestions inbox for possible improvements or training needs

  • Respond to employee request ticks for EHR support within 48 business hours.
  • Manage JotForm system for employee tickets triaging items that are IT, Data Analyst, or Specialist level.
  • Work cooperatively with staff, IT Department, and leadership to ensure EHR needs of new and existing initiatives are available as approved. Coordinate work orders placed with the electronic health records vendor.
  • Be primary point of contact for vendor support tickets of assigned systems
  • Assist with managing and data pulling of other organizational software's as directed by data leadership.

Assist supervisor with day-to-day management of data systems including troubleshooting problems and addressing needs. Complete certification of Credible EHR Specialist, Credible Billing Specialist, and Credible BI Specialist training, within 90 days of start.

  • Provide information and on-site support to necessary systems contractors to ensure system security and reliability.
  • Assist with EHR and Employee Medical Record (EMR) database management as necessary.
  • Assist with base level IT Tasks as directed
  • Assist with management of IT Email Inbox and Ticket assignments as directed
  • Perform basic troubleshooting of relevant systems including, but not limited to, Credible, Laserfiche, and Paylocity systems. notify vendors if unable to resolve problem.
  • Maintain and advance knowledge and skills related specifically to position or to field of work through regular review of pertinent materials and participation in training events as approved by supervisor.
  • Adhere to the standards, policies and instructions established by PMHS Policy and Procedure and any applicable ethical codes within field of employment.
  • Review and comply with the Pawnee Code of Conduct outlined in the Employee Handbook.
  • Perform other reasonably related duties as assigned by immediate supervisor or other management personnel.

Requirements

Do you have experience in Technology security practices?, Do you have a High school diploma or GED?, * High School diploma or equivalent and 3 years' experience in supporting PC and/or network users in a help desk function

  • Experience being primary point of contact for multiple high use software systems
  • Significant knowledge of Microsoft Office applications.
  • Strong oral and written communication skills using the English language.
  • Certification in Credible EHR, Billing, and BI specialist courses within 90 days of hire.
  • Strong customer service skills and ability to work with staff to troubleshoot and resolve issues
  • Familiarity with HIPAA regulations and data security best practices

Preferred:

  • Post-secondary education/certification in Information Technology or closely related field.

Knowledge of SQL
