Job description

The Donor Database Administrator, reporting to the Executive Director of Advancement, is responsible for the overall management and integrity of the Foundation's, Raise's Edge database, supporting donor identification, cultivation, solicitation, stewardship, and recognition efforts. Key responsibilities include gift processing and acknowledgment, data analysis and reporting, data imports and exports, data entry oversight, and the implementation of data quality and maintenance initiatives.

This position serves as the Foundation's lead resource for data analytics, collaborating with staff and stakeholders across the SPC Foundation to understand business needs, develop meaningful reports and dashboards, and provide actionable insights that support fundraising, donor engagement, and strategic decision-making.

  • Oversee the structure, maintenance, systems, policies, and processes of Raiser¿s Edge usage.
  • Manage pledge payment tracking, acknowledgements, reminders, and follow-up processes for 1,000+ donors.
  • Manage and train staff on acknowledgement of 4,500+ individual gifts throughout the year, including high traffic seasonal online giving campaigns.
  • Manages processing of all gifts via mail, credit card, online, and stock transfer.
  • Develop and maintain documentation, procedures, and training materials related to database usage, reporting standards, and gift processing workflows.
  • Create data-informed prospect lists for year-round identification and qualification.
  • Create data-informed analysis to help fine-tune donor cultivation and relationships.
  • Coordinate data imports, exports, clean-up projects, and reconciliation processes to ensure data accuracy and consistency across systems. Manage vendor relationships to support development operations.
  • Lead and conduct quarterly portfolio management meetings with gift officers.
  • Lead and conduct monthly pipeline meetings to review progress towards overall fundraising goals.
  • Conduct prospect analysis to inform proactive research activities.
  • Continually review and optimize data management processes to improve methods for moving people along our continuum of engagement.
  • Enter gifts into database with appropriate coding and notes.
  • Produces acknowledgement letters/tax receipts while checking for grammatical/typographical mistakes and knowledge of practical tax receipting protocol.
  • Generates pledge reminders and invoices.
  • Batches all cash, checks, and credit card donations to Accounting Department in a timely basis.
  • Produces quarterly metrics report for Foundation Board of Directors.
  • Produces weekly metrics for Development department.
  • Develops reports and manages the regular distribution of data, including daily revenue report.
  • Works with Foundation Business Manager, Scholarship Office and others to support sharing of data and information across platforms.
  • Produces queries, reports, lists needed by development staff as needed for mailings, events, board give/get and moves management.
  • Develops reports and maintains professional relationships with Foundation Board members to support fundraising strategy and organizational goals.
  • Manages vendor relationships, software renewals, and external platform coordination related to advancement operations systems.
  • Creates custom dashboards for development staff which demonstrate revenue progress in real-time and manages tasks and actions.
  • Occasionally work evenings or weekend special events which may require travel.
  • Train staff and interns on relevant database systems.
  • Other duties as assigned, Kneeling bending legs at knee to come to rest at knees.

Work performed is primarily:

Very heavy work: Exerting in excess of 100 pounds of force occasionally and/or in excess of 50 pounds of force frequently, and/or in excess of 20 pounds of force constantly to move objects

May be required to work hours other than the regular schedule including nights and weekends.

This position requires regular and reliable attendance and the employee's physical presence at the workplace.

May be subjected to fumes, odors, dusts, gases, extreme temperatures, work space restrictions, and intense noise.

Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs.

Requirements

Do you have experience in Research?, Do you have a Bachelor's degree?, Bachelor's degree; three (3) years of related work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job., * Proficient with Raiser's Edge NXT

  • Knowledge of Wealth Engine, Rel Sci, LiveAlumni or other wealth screening platforms
  • Three or more years¿ experience in database management
  • Proven track record of identifying and evaluating data-informed patterns and outcomes
  • Experience creating data-informed donor prospect lists
  • Self-starter with strong work ethic, attention to detail, and the ability to think strategically
  • Excellent written and oral communication skills
  • Demonstrated ability to work as part of a team in a face-paced work environment
