Job description
This is responsible secretarial and office support work of moderate difficulty requiring the skilled handling of a multi-line telephone system, excellent customer service and interpersonal skills, and the proficient operation of a computer and various software, database, and internet applications. Work includes the preparation of business correspondence and reports; and/or other assigned office maintenance of moderately complex fiscal, operating, personnel, payroll, and records; the scheduling and coordination of committee meetings and the maintenance of minutes and administrative files; professional and efficient reception and disposition of office calls, from internal and external customers, and incoming mail; and must exercise professional discretion and tact when handling sensitive or confidential information or records. An individual selected for this position will serve as an Emergency Critical member of the Parks & Recreation Department's Disaster Operations administrative support team.
Requirements

Have considerable progressive clerical and typing experience.

Have excellent customer service skills.

Be skilled in the operation of a computer and software programs including the Microsoft Office Suite (Word, Excel, and Outlook) as well as other types of automated office equipment in a modern office environment.

Acknowledge this position is designated as Emergency Critical (EC) and if hired into the position, you must be immediately available to the department before, during, and after a declared emergency and/or disaster.

Possess a high school diploma or GED equivalency.

Have strong organizational and multitasking skills.

Are able to efficiently and effectively respond to multiple administrative, telephone, and reception demands.

Are able to maintain a professional demeanor appropriate for a high-profile public office.

Have considerable knowledge of business English including correct punctuation, spelling, and grammar.

Are able to maintain moderately complex office files, prepare routine letters, make mathematical calculations with speed and accuracy, and follow complex oral and written instructions.
· Have knowledge of computer programs such as Oracle E-Business Suite, WFM timekeeper software, and ActiveNet registration software.
