Job description
Reporting to the Maintenance Manager, you will provide comprehensive administrative support to the Maintenance Department, helping to ensure the efficient coordination of maintenance activities across the Resort. This varied role requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities while building strong relationships with colleagues, contractors, suppliers and other departments., Provide day-to-day administrative support to the Maintenance Manager and Maintenance Team. Manage maintenance requests received through Opera, email and other reporting channels, ensuring works are logged, prioritised and communicated effectively. Coordinate and maintain maintenance work schedules, servicing calendars and planned preventative maintenance records. Support departmental purchasing by raising orders and maintaining accurate expenditure records under the direction and oversight of the Maintenance Manager. Process invoices and supplier payments, liaising closely with the Finance Team to resolve discrepancies and ensure accurate financial records. Maintain accurate records of statutory inspections, compliance checks, servicing certificates and maintenance documentation. Coordinate external contractors, ensuring all required documentation, insurance certificates, permits and compliance requirements are received prior to works commencing. Support the Maintenance Manager with tracking ongoing projects, repairs and planned works across the Resort. Attend departmental meetings, taking minutes and supporting follow-up actions where required. Liaise with Heads of Department and operational teams to gather maintenance requirements and provide updates on progress. Support stock control processes and assist with departmental stock takes when required. Maintain accurate filing systems and records in line with Company procedures and legal requirements. Deliver a professional and helpful service when interacting with guests, team members, suppliers and contractors. Hours of Work Part-time position working 25-30 hours per week. Monday to Friday. Flexibility may be required to support business needs. Pay - £13.50 per hour.
Requirements
Has previous administrative experience, ideally within a maintenance, facilities, engineering, property or operational environment. Has excellent organisational and planning skills. Is confident managing multiple tasks and changing priorities. Has strong attention to detail and enjoys working accurately. Is comfortable using computer systems, Microsoft Office and departmental software. Has excellent communication and relationship-building skills. Is self-motivated, proactive and able to work independently. Takes pride in providing excellent service and support to others. Maintains confidentiality and professionalism at all times.
