Job description
The Administrator's primary role is to provide comprehensive administrative support for the organisation.
Accountabilities and Main Responsibilities of the Role
The Administrator will be responsible for:
Attendance & Pupil Monitoring
- Monitor daily student attendance, ensuring accurate recording on MIS/HRIS systems.
- Follow up on absences and lateness through phone calls and communication with parents, carers, schools, and local authorities.
- Respond to attendance queries from external stakeholders.
- Identify attendance concerns and liaise with safeguarding and pastoral teams where appropriate.
- Staff absence line initial point of contact
- Main responsibility for data input of Pupil MIS system including pupil profiles, key information and inputting timetable data
Data Collation, Compliance & Reporting
- Maintain accurate and up-to-date pupil records, ensuring compliance with data protection (GDPR) standards.
- Conduct system audits to ensure data accuracy across pupil asset systems.
- Collate and prepare data for reports, tenders, and senior leadership requirements.
- Ensure all administrative systems are compliant and effectively maintained.
Safeguarding & Leavers Administration
- Support safeguarding processes by maintaining accurate, confidential records.
- Assist the Safeguarding Lead in preparing safeguarding and pupil files for leavers.
- Ensure timely, secure transfer of safeguarding and educational records to receiving schools or provisions.
- Maintain a clear audit trail of information sharing in line with safeguarding policies.
- Handle all sensitive information with discretion and confidentiality.
Organisational Administration
- Provide administrative support to Leadership Teams, including logging staff absences and liaising with stakeholders.
- Coordinate IT setup for new starters (phones, laptops) and replacements in collaboration with IT teams.
- Provide general administrative and clerical support to the Senior Management Team.
- Take a proactive role in reviewing and updating policies and processes.
Operational & General Duties
- Support health and safety compliance (e.g., first aid kits, risk assessments).
- Provide ad-hoc administrative support across the organisation.
- Ensure effective communication with internal and external stakeholders.
Requirements
- Administration: 2 year (preferred)
Job-Related Experience, Qualifications, and Skills
The Administrator will have:
- Strong administrative and organisational skills
- Experience in an educational or safeguarding environment (desirable)
- Experience with Microsoft 365 (Word, Excel, Outlook)
- High attention to detail and data accuracy
- Ability to manage sensitive and confidential information
- Excellent verbal and written communication skills
- Ability to work independently and proactively, * Do you have experience using Microsoft 365 Office applications such as Word, Excel, Outlook, and others?
