- Serve as the first point of contact at the front desk, greeting visitors and managing inquiries with professionalism and courtesy
- Operate multi-line phone systems, handle incoming calls, and direct them appropriately using proper phone etiquette
- Manage appointment scheduling and calendar coordination for staff members using digital tools such as Google Workspace and Microsoft Office
- Perform data entry, maintain filing systems, and ensure all documents are accurately proofread and organized
- Assist with bookkeeping tasks utilizing QuickBooks, including invoicing, expense tracking, and basic financial record keeping
- Support office management activities such as supply ordering, maintaining office equipment, and overseeing daily administrative tasks
- Provide customer support by addressing client questions promptly and professionally in both languages
- Handle clerical duties including photocopying, faxing, mailing, and preparing reports or correspondence as needed
- Maintain organized records of client files, invoices, and other essential documents to ensure easy retrieval
- Support personal assistant functions such as travel arrangements or special project coordination when required

- Bilingual proficiency in English and another language (e.g., Spanish), with excellent verbal and written communication skills in both languages
- Strong computer literacy including proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and data entry software
- Familiarity with QuickBooks for bookkeeping purposes is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Demonstrated knowledge of multi-line phone systems and front desk operations
- Attention to detail in proofreading documents and maintaining accurate records
- Professional demeanor with strong customer service skills and proper phone etiquette
- Previous experience supporting office management or personal assistant functions is a plus
