Job description

Position Summary: The IT Systems Coordinator is responsible for day-to-day administration,

support, and continuous improvement of Hovde Properties' technology infrastructure. This role

ensures reliable, secure, and efficient IT operations across all business units, including property

management, construction, accounting, and corporate functions.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be

Information Operation and Support:

  • Serve as the primary point of contact and advisor for IT-related issues across the

Company and translate business needs into actionable IT plans.

  • Serve as the liaison with the Managed IT Services provider to resolve hardware,

software, network, and user access issues.

  • Support onboarding and offboarding employees, including account setup, system

access, and equipment deployment.

  • Lead coordination of technology initiatives across residential operations, construction,

administration, and the family office and present leadership with clear options and

recommendations.

  • Drive standardization of property technology systems across all locations.
  • Develop deep working knowledge of the key line of business applications and identify

opportunities to expand its use across business functions.

  • Research and pilot AI and automation tools for tenant engagement, workflow

optimization, and operational efficiency.

  • Maintain technology standards and hold departments accountable for using approved

solutions.

  • Participate in leadership and cross-departmental meetings as the technology

representative.

  • Manage vendor relationships and coordinate with Manager IT Services provider.

Systems Administration and Maintenance:

  • Track and maintain licenses for software across the Company.
  • Administer and maintain core line of business applications.

  • Manage user accounts, permissions, and access controls in accordance with Company

security policies.

  • Assist with implementation and optimization of property management, accounting, and

construction software platforms.

  • Coordinate with third-party IT and application providers for escalated issues.

Cybersecurity and Compliance:

  • Support company-wide cybersecurity initiatives and best practices.
  • Enforce IT policies and procedures, ensuring compliance with internal standards and

external best practices.

  • Assist with regular system backups, disaster recovery planning, and business continuity

efforts.

  • Coordinate with third-party IT providers to review security reports, help identify areas of

improvement and assist with coordinating and deploying security initiatives.

  • Lead training and awareness efforts with employees on IT security.

Infrastructure and Network Support:

  • Coordinate with IT services partners to maintain office network infrastructure, including

Wi-Fi, VPN and firewall systems.

  • Coordinate with vendors and service providers for system upgrades, maintenance, and

troubleshooting.

  • Assist with evaluating and implementing new technologies to improve operational

efficiency.

Project Coordination:

  • Support IT-related projects, including system upgrades, software deployments, and

process improvements.

  • Document system configurations, procedures, and troubleshooting guides.
  • Provide training and guidance to employees on new tools and technologies.
  • Provide strong project coordination and organizational skills.

Technology and Operations Support:

  • Provide on-site and remote support to corporate office and property locations.
  • Support property management systems and business software platforms.
  • Assist with AV setup for meetings and presentations.

Education/Experience:

  • Associate or Bachelor's degree in Computer Science, Information Technology, or a

related field (or equivalent experience).

  • 2-5 years of IT support experience.
  • Experience working with Microsoft 365 environment required.
  • Experience in real estate, property management, or construction environments is a

plus.

  • Excellent troubleshooting and customer service skills.

Certificates and Licenses: None.

Language Ability:

Read, analyze, and interpret complex documents, financial reports, and legal documents.

Respond to inquiries or complaints from customers, agencies, or members of the business

community. Effectively present information and respond to questions from managers,

customers, and the public.

Reasoning Ability:

  • Define problems, collect data, establish facts, and draw valid conclusions. Interpret an

extensive variety of technical instructions in mathematical or diagram form and deal with

a variety of abstract and concrete variables.

Computer Skills:

  • Proficiency in using relevant software and technology tools, such as Microsoft Office

Suite (Word, Excel, PowerPoint

  • Proficiency in Adobe Creative Suite applications including InDesign, Photoshop,

Illustrator and Acrobat

  • Experience with web editing and social media platforms
