Job description

To provide support and administrative assistance to the Corporate Vice Presidents, their divisions, the Senior Executive Assistant, and various areas throughout the company., Executive Assistant (IT) Responsibilities

Support multiple vice presidents using a variety of project management, communication, and organizational skills. Manage an active calendar of appointments; plan, coordinate, and ensure the Vice President's schedules are followed and respected. Work closely and effectively with the Vice President's to keep well informed of upcoming commitments and responsibilities, following up appropriately.

Gather and organize materials and coordinate internal/external arrangements for various meetings including arranging complex and detailed travel plans, itineraries, presentations and agendas, and compiling documents for travel-related meetings. Attend meetings, compose all actions of the meetings, and prepare formal minutes; collect and track agenda items and complete needed follow-up of these meetings for the appropriate Vice President.

Manage several deliverables and smaller projects within the divisions. Coordinate various elements of business projects and ensure they are getting delivered to the final stage. Provide regular updates to vice presidents and their directors, which often involve drafting, preparing, and proofing presentations, gathering data, and presenting information during meetings.

Serve as a lead role in the drafting and execution of company-wide and field communications on behalf of the Vice Presidents. These include employee communications, complex and potentially confidential information, communications to our customers and field force. In addition, determine appropriate course of action, referral or response to customers' and agents' complaint correspondence on behalf of Vice Presidents.

Requirements

High school diploma or equivalent required.

Minimum five years of administrative experience required.

Experienced usage and program development skills in Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook, and Teams) required.

Keyboarding skills of 65 wpm with accuracy required.

Basic math aptitude required.

Willingness to pursue industry-related classes required.

Preferred

Associate's or bachelor's degree preferred.

Familiarity with terminology and operations of the agricultural and insurance industries preferred.
